    Job Description

    JOB SUMMARY:

    To provide administrative support and front desk reception for Branch Office Operations, in a fast

    paced, high volume environment.

     

    DUTIES AND RESPONSIBILITIES:

    · Excellent interpersonal and organizational skills required

    · Answer all incoming phone lines.

    · Greet incoming clients, vendors, Sales Executives and staff while maintaining a professional business office environment

    · Highly motivated and enthusiastic

    · To complete and carry out all administrative support functions and duties as assigned by Branch Management

    · Phone calls & mail screening; memo; letters; follow up communication, etc.

    · Facilitate catering meetings and/or events.

    · Create meeting agenda and summary if required

    · Prepare overhead presentation and/or handouts

    · Create and maintain Calendar for Branch Manager as necessary

    · Coordinate Appointments / Meetings / Events / Birthday & Anniversaries celebrations, and cards for distribution, etc.

    · Prepare/ dispatch personal correspondence from the Management

    · Review broker files as necessary for compliance

    · Data entry into Skyslope

    · Data entry into MLS

    · Assist as needed in the coordination of company events and functions

     

    MINIMUM JOB REQUIREMENTS:

    · Excellent interpersonal and organizational skills.

    · Highly motivated and enthusiastic, enjoys working as a team member, with internal and external clients.

    · Knowledge of real estate environment and operational functions (i.e. owner-brokers, administrative support staff and management team.)

    · The ability to generate reports and create letters.

    · The ability to work in Excel, PowerPoint and create charts and graphs.

    · Microsoft Word/ Excel/ Publisher/ PowerPoint

    · Administrative background with three years of and administrative experience or equivalent is essential

    · The ability to exercise discretion and independent judgment is imperative

    · The qualified candidate must be highly organized and able to manage multiple tasks as well as prioritize

    · Working knowledge of real estate industry, a plus
