Your responsibilities include relaying important messages to the CEO, scheduling meetings and trips, and systematizing information in the client databases. In addition, you will be responsible for managing all paperwork (need we say in a timely manner? :), liaison between realtors, mortgage companies and vendors, weekly client updates and notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. Applicants should be extremely thorough, forward-thinking, possess great interpersonal skills and emotional intelligence, excellent writing and communication skills, and have basic knowledge of the real estate industry and database management. Responsibilities: • Respond to customer needs with urgency and attentiveness • Generate status reports for the team on a regular basis to make sure company targets are being properly prioritized • Plan travel arrangements, open houses, final walkthroughs, and other necessary appointments and engagements • Monitor deadlines and provide notices to appropriate parties when necessary • Execute office management tasks such as systematizing office records, and buying office equipment • Answer phone calls, emails, and other requests and notify the realtor of necessary details • Oversee the CEO’s schedule, team meetings, and travel arrangements • Manage the client database to keep information orderly and confidential • Adjust to the needs of the real estate office and execute other assistant duties when necessary • Function as the main point of contact for the CEO, buyers agents, and team • Set up new listings and buyer purchases (Scheduling any inspections, photography, coordination of vendors, input of  MLS listings and process and coordinate transactions  • Managing coaching schedules, conferences and activities • Creating managing media platforms, property marketing, mailer campaigns, blast email updates • Create mail and drip campaigns, coordinate client appreciation events and gifting Qualifications: • Real Estate industry experience and strong interest to grow in real estate is required for this position • A real Estate License is preferred for this job but not required • 2-5 years experience as an executive assistant or administrative assistant • Can work on a deadline and handle private client information • Communicates well, both verbally and written • Ability to learn quickly in a fast-paced environment • High school diploma or G.E.D. required, Associates or Bachelor's degree preferred • Highly organized with strong interpersonal skills and time management skills • Efficient in Microsoft Word, Excel, and Multiple Listing Service software • Mac and PC proficient is a must • Bilingual writing and speaking a plus (Spanish) • Weekend and evening flexibility is a plus • Knowledgeable and quick learner of software systems, Canva, YouTube, Mailchimp, and social media management Directions to follow*****************1) Submit your resume2) Complete the DISC assessment Compensation: $50,000 - $75,000 yearly
