DESCRIPTION
BEVERLY GLASS COMPANY PRIDES ITSELF ON CUSTOMER SERVICE. FOR OVER 40 YEARS, BEVERLY GLASS HAS MAINTAINED ITS SMALL BUSINESS FEEL WITH EXCELLENT ATTENTION TO DETAIL AND CUSTOMER CONNECTIONS. THE ADMINISTRATIVE ASSISTANT IS THE FIRST POINT OF CONTACT WHEN A CUSTOMER CALLS OR ENTERS THE SHOP. NOT ONLY IS THIS POSITION CUSTOMER SERVICE BASED, IT IS DRIVEN BY ORGANIZATION AND GREAT TIME MANAGEMENT. THE ADMINISTRATIVE ASSISTANT AIDS THE GENERAL MANAGER AND ADMINISTRATOR IN KEEPING WORKFLOW SMOOTH, PRICING AND KEEPING TRACK OF ORDERS, SCHEDULING AND SENDING INVOICES. THE ADMINISTRATIVE ASSISTANT IS A TEAM PLAYER, ABLE TO THINK QUICKLY ON THEIR FEET AND MAINTAIN POSITIVE INTERPERSONAL RELATIONSHIPS. THE ADMINISTRATIVE ASSISTANT MUST BE OPEN TO CHANGING ON A DIME TO ASSIST IN THE SITUATIONS AT HAND.
HOURS: 8:00 AM - 4:30PM WITH A HALF HOUR LUNCH MONDAY - FRIDAY
PAY AND BENEFITS WILL BE DISCUSSED DURING THE INTERVIEW PROCESS.
CUSTOMER SERVICE
GREETING AND ASSISTING CUSTOMERS ON THE PHONE OR IN PERSON.
KEEPING OPEN AND RESPECTFUL COMMUNICATION WITH CUSTOMERS.
HAVING A FRIENDLY AND POSITIVE ATTITUDE.
TEAM PLAYER AND WILLINGNESS TO ASSIST OTHERS.
WILLINGNESS TO ADAPT TO CHANGING SITUATIONS.
READING AND RESPONDING TO EMAILS.
RESPONDING TO VOICEMAILS AND CUSTOMER CONTACT FORMS FROM WEBSITE.
SCHEDULING
KEEPING UP WITH THE DAY-TO-DAY SCHEDULE.
SCHEDULING CUSTOMER MEASUREMENTS AND/OR JOBS AS SOON AS POSSIBLE.
ASSIGNING JOBS TO THE CORRECT TECHNICIAN, ENTERING INFORMATION CORRECTLY AND BEING AS DETAILED AS POSSIBLE.
SEND INVOICES AFTER JOB IS COMPLETE.
CUSTOMER ORDERS
EVALUATION OF ALL ORDERS THAT COME INTO THE SHOP. THESE ORDERS CAN INCLUDE TABLETOPS, INSULATED WINDOW UNITS, STORM WINDOWS, SCREENS AND MORE.
OBTAIN ALL CONTACT INFORMATION FROM CUSTOMER AND ORGANIZE IT EFFICIENTLY.
SEND ORDERS OUT FOR A QUOTE TO VENDORS AND PRICE FOR CUSTOMER. ENTER INFORMATION CORRECTLY AND PROFESSIONALLY INTO COMPANY PROGRAM.
KEEP TRACK OF ALL SHOP ORDERS AND ALERT CUSTOMERS WHEN THEY ARE DONE; OR, IF THEY NEED TO BRING IN SOMETHING FOR THE JOB TO BE COMPLETED (I.E. A WINDOW SASH).
PROMPTLY COLLECT PAYMENT FROM CUSTOMERS FOR ALL ORDERS.
MARKETING SKILLS ARE A PLUS BUT NOT REQUIRED.
OTHER DUTIES INCLUDE BUT ARE NOT LIMITED TO:
RUNNING CREDIT CARD SALES
MONITOR SOCIAL MEDIA ACCOUNTS AND POSTING TO BOTH ACCOUNTS
KEEP FRONT DESK, NEAT, CLEAN, AND ORGANIZED
TRACK DELIVERIES/ORDERS
