     JOB DESCRIPTION:

    We are looking for a responsible Executive Assistant to provide high-level, confidential administrative support to the Managing Partner. The ideal person should be efficient, resourceful, and have superior organizational skills. You should be able to identify and address the needs of the Managing Partner and perform administrative tasks to ensure the Managing Partner’s workflow runs smoothly. To be successful in this role, you should be proactive, meet deadlines and communicate effectively.

     

    Required Skills

    RESPONSIBILITIES:

    • Act as the point of contact between the Managing Partner and other executives and employees/clients of the company
    • Support the Managing Partner by handling or tackling tasks that could have a dramatic effect on the success of the company
    • Coordinate/manage Managing Partner’s calendar
    • Facilitate/schedule appointments and events
    • Manage/screen phone calls
    • Monitor Managing Partner’s emails and facilitate prompt action and/or appropriate response
    • Send secure electronic documents to clients
    • Respond promptly to Managing Partner’s queries
    • Other general office duties such as: mail, preparing FedEx packages and filing
    • Process expense reports
    • Take meeting minutes
    • Support other team activities during peak seasons of heavy deadlines
    • Make travel arrangements (Air/Hotel/Car Rental), etc.
    • Other special projects as required by Managing Partner
    • Client Administration

    REQUIRED SKILLS:

    • COMMUNICATION SKILLS: Highly organized with strong written and verbal communication skills
    • TIME MANAGEMENT: Ability to manage Managing Partner’s time as well as your own; this involves the ability to quickly glean information from those demanding time from the Managing Partner and which need to be redirected or handled in some other way.
    • TRUSTWORTHINESS: Ability to exercise discretion/confidentiality with sensitive information is crucial.
    • MULTITASKING: Ability to handle more than one task at a time while keeping tabs on Managing Partner’s schedule and keeping them on track. Must have a thorough understanding of the Managing Partner’s work.
    • Advanced knowledge of Microsoft Word/Excel/Outlook
    • Experience using office equipment, including printers, scanners and fax machines
    • College degree preferred, additional qualifications as Personal Assistant or Secretary are a plus

    Required Experience

    Experience: C-Level Administrative Support – 7-10 years (Preferred). CPA Firm experience a plus
