Responsibilities: • Coordinate and manage daily administrative tasks (e.g., run errands, obtain supplies, set up new physical & virtual files, execute case file closure procedures, organize the office) to ensure smooth office operations. • Provide bilingual support by translating documents and communications between English and Spanish. • Assist attorneys and case managers with scheduling, correspondence, and document preparation. • Maintain organized and up-to-date client files, ensuring confidentiality and accuracy. • Facilitate communication between clients and legal staff, enhancing the client experience. • Serve as a backup for the client experience representative and office generalist for breaks and out-of-office coverage. • Prepare and distribute meeting agendas, minutes, and follow-up actions to keep the team aligned. • Support the onboarding process for new clients, ensuring a welcoming and informative experience from the start. • Process incoming and outgoing mail. • Fulfill other administrative duties as assigned. Qualifications: • Ability to communicate with written/oral professional-level fluency in both English and Spanish, enhancing client interactions and document translations. • Experience in administrative roles, ideally within a legal or professional services environment. • Proven track record of managing multiple tasks efficiently, ensuring smooth office operations. • Strong organizational skills to maintain accurate and confidential client files. • Ability to assist in scheduling and preparing documents for attorneys and case managers. • Experience in facilitating communication between clients and legal staff, improving client experiences. • Strong written, phone, and interpersonal communication skills • Demonstrated effective problem-solving and issue-resolution skills • Works well under pressure and understands the importance of accuracy and timeliness. • Professional and courteous; positive attitude; punctual. Compensation: $18 - $20 hourly
