Responsibilities: Provide comprehensive administrative support for the office (e.g. obtain supplies, plan/prepare/close for office events, set up new physical and virtual files, execute office related tasks as needed) Process incoming/outgoing online and physical mail File, scan, and copy documents and maintain an organized file system Serve as receptionist managing in-person and telephonic clients/visitors Schedule client appointments Greet visitors and clients in a professional and welcoming manner Set up and close physical and electronic files Manage calls from clients and prospective clients seeking information Provide translation and interpreting services as needed Manage high volumes of client communication with care and efficiency Additional duties and special projects as assigned by Supervisor Qualifications: Ability to communicate with written/oral professional-level fluency in both English and Spanish, enhancing client interactions and document translations Strong written, phone, and interpersonal communication skills Strong organizational skills to maintain accurate and confidential client files Ability to assist in scheduling and preparing documents for attorneys and case managers Experience in facilitating communication between clients and legal staff, improving client experiences Proactive, collaborative, and detail-oriented Demonstrated effective problem-solving and issue-resolution skills Works well under pressure while maintaining professional phone and in-person etiquette Professional and courteous; positive attitude; punctual
