Position Overview
The Receptionist / Front Desk Administrator is responsible for providing professional front-desk support and assisting the staffing team with daily administrative and onboarding activities. This position serves as an important first point of contact for candidates, clients, and visitors while supporting recruiters and the Branch Manager with accurate and organized administrative work.
The ideal candidate is detail-oriented, highly organized, dependable, professional, and comfortable handling multiple tasks in a fast-paced staffing environment.
Key Responsibilities
Greet and assist candidates, clients, visitors, and staff in a professional and welcoming manner.
Answer, screen, and direct incoming phone calls and take messages as needed.
Assist recruiters with candidate onboarding, including collecting, organizing, scanning, and filing required documents.
Maintain accurate and organized candidate files, records, and paperwork.
Scan, copy, print, fax, and distribute documents as needed.
Assist with data entry, reports, spreadsheets, and other administrative tasks.
Support recruiters with scheduling interviews, orientations, onboarding appointments, and candidate follow-ups.
Assist with preparing onboarding packets and ensuring required paperwork is complete and properly filed.
Help maintain accurate records and documentation in accordance with company procedures.
Provide administrative support to the Recruiter and Branch Manager as requested.
Assist with daily office organization, supplies, mail, and general front-office responsibilities.
Maintain confidentiality when handling candidate and employee information.
Follow up on missing or incomplete documentation and communicate updates to the appropriate team member.
Perform other administrative duties and special projects as assigned.
Qualifications & Skills
Previous receptionist, administrative, staffing, recruiting, or customer service experience preferred.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Professional and friendly phone and communication skills.
Ability to handle confidential information with discretion.
Comfortable working with computers, email, Microsoft Office, spreadsheets, and document management systems.
Ability to prioritize multiple tasks and meet deadlines.
Strong follow-through and problem-solving skills.
Ability to work independently while also supporting a team.
Professional appearance and positive attitude.
Bilingual skills are a plus, particularly English/Spanish in a staffing environment.
Reporting Structure
This position will work closely with the Recruiter(s) and report to the Branch Manager, providing day-to-day administrative and front-desk support to ensure efficient branch operations and a smooth candidate onboarding process.
