    Remote Patient Scheduling & Intake Coordinator (Bilingual – English/Spanish or Portuguese) Company: Pediatric Therapy Clinic – Orlando, FL Location: Remote (must work U.S. Eastern Time hours) Schedule: Monday–Friday, 9:00 a.m. – 6:00 p.m. EST About Us Elevate is a growing pediatric speech and occupational therapy clinic dedicated to helping children thrive in communication, independence, and confidence. We serve a diverse community and are looking for a caring, proactive team member to help families get started with therapy quickly and smoothly. Position Overview We are seeking a Remote Patient Scheduling & Intake Coordinator to join our team. This role focuses on managing leads, following up with parents, and scheduling patients into our therapy programs. You will be the first point of contact for many families, so professionalism, warmth, and persistence are key. Key Responsibilities • Handle inbound and outbound calls, emails, and WhatsApp messages from parents. • Follow up consistently with new leads, pending intakes, and families ready to begin therapy. • Guide parents through the intake process and confirm paperwork completion. • Schedule patients with the right therapist, considering: • Therapy type (speech or occupational therapy) • Language needs (English, Spanish, Portuguese) • Parent availability • Therapist availability • Maintain accurate records in our CRM (monday.com). • Track parents who are approved but not yet scheduled and follow up until therapy is confirmed. • Support our in-clinic secretary by ensuring therapists’ schedules stay full and organized. Responsibilities: What We’re Looking For • Bilingual : English + Spanish or Portuguese (required). • Proactive : You take ownership, follow through, and don’t need constant supervision. • Caring & Polite: You treat every parent and child with respect, warmth, and empathy. • Organized : You can juggle multiple calls, follow-ups, and scheduling details without losing track. • Persistent but Polite : You know how to keep parents engaged, even if they are slow to respond. • Tech-Savvy : Comfortable using phone systems, CRM tools, EMR, email, and WhatsApp, and others. Qualifications: • Experience in medical scheduling, customer service, or call center preferred. • Strong communication and problem-solving skills. • Ability to work remotely with reliable internet and a quiet workspace. • Disciplined in logging calls and follow-ups consistently. Performance Expectations • 25–30 outbound calls per day. • 2–3 hours of talk time daily. • 100% of new leads contacted within 24 hours. • 90% of approved patients are scheduled within 7 business days. Compensation: $4 - $7 hourly
