    Angel of God Resource Center, Inc. Position Title: Billing Administrator Reports to: Director of Fiscal Services

    Position Summary

    Billing Administrator manages the invoicing process, which includes preparing and sending invoices, tracking payments, and reconciling accounts. This role involves ensuring billing accuracy, resolving discrepancies, and providing customer service for billing inquiries.

    This position requires awareness of agency policies and procedures and coordinate assignments working under the direction of the Director of Fiscal Services. Prepare Monthly billings by AOGRC before policy due date for approval. Assist with maintaining adequate and ongoing policies, procedures within agency and its vendors.

    Duties and Responsibilities: Within the scope of agency policies and procedures, this position:

    · Key responsibilities also include generating financial reports, maintaining records.

    · Collaborating with other departments to ensure a smooth billing cycle.

    · Concise understanding of the agency’s program operations and assist with policy and procedures revisions.

    · Gather required information for agency billings with semi-monthly updates. (Examples are: IYIP, DHS/DRS, SNAP, Supportive Services and Placement).

    · Complete DHS/DRS billings by the fifth (5th), working day of the month.

    · Provide a schedule of billing amount with reimbursement from AOGRC and by contract reimbursement. Schedule must balance to the Profit and Loss Report from QuickBooks.

    · Maintain AFLAC monthly Analysis Report.

    · Maintain ADP invoices, Pension-401-K schedule of all those who are eligible. The schedule must match invoices/charges.

    · Type up purchase orders.

    · May place orders.

    · Maintain tax exempt documents, insurance, certificates position descriptions.

    · Logging in and maintain student/Independent contractor Master list per program.

    · Follow up with missing documents.

    · Complete quarterly reports on Funding Sources.

    · Assist with audit per request.

    · Weekly report on activities done.

    · Attend required meetings and Trainings.

    · Maintain Agency wide Calendar/Meetings and due dates.

    · Maintain a List of Agency’s MOU, Linkage Agreements, Sub-Contractors, Employers (Must have all required documents such as W9’s, Insurance, Brochures, and Website Reviews.

    · Work with Accounts Receivable Administrator maintaining an updated list of all AOGRC Worksites and Employers by locations.

    · Assist with maintaining updates/revision to policies and procedures, Financial Management Polices, Risk Management, Personnel, CARF, Grant Contract Renewal such as IYIP, Teen Reach, DHS/DRS, SNAP, Illinois State Board of Higher Education and Workforce Development.

    · Retire Plan Analysis.

    · Get monthly schedule of Sick and Vacation Balances from Fiscal/Accounts Receivable/Payable Administrator.

    · Work with Accounts Receivable/Payable Administrator maintaining copies of all Evaluations for the Executive Officer file. Executive Officer will keep files on those she supervisor direct in her office.

    · Learn GATA System and ICQ.

    · Learn QuickBooks, how to set up budgets and do Bank Reconciliations.

    · Maintain Emails, Directory and Passwords for Agency.

    · Maintain an updated list of Agency Trainings per the Fiscal Year requirements, log in of topics and dates.

    · Perform other tasks assigned by the Executive Officer. Assists in the preparation of course proposals, Audits, curriculum, and specifications.

    · Prepares memorandum used for lead staff for AOGRC Projects.

    · Strong computer skills including Word Processing, Power Point, Excel, and spreadsheet applications.

    · Strong organizational skills and attention to details.

    · May assist with CARF Accreditation.

    · Must pass acceptable background check.

    Education and /or Experience:

    · Associate degree, and possession of a comparable diploma and seven (7) years’ experience management, two (2) years of supervisory experience; or an equivalent combination of experience and training as indicated above.

    · Possession of a current valid Illinois Driver License at time and throughout employment.

    · Computer knowledge (demonstrated word processing skills, ability to use the internet).

    · Strong Prioritization and time management skills.

    · Strong verbal and written communication skills: flexibility and ability to comfortably adapt content and/or style to meet the needs of Angel of God Resource Center, Inc.

    · Demonstrated customer service skills and consideration for others.

    · Demonstrated ability to learn and facilitate curricula quickly and with accuracy.

    · Ability to consider and analyze various points of view and pieces of data to form a perspective appropriate to a particular context.

    · Ability to identify problems early on provide support as needed for the Executive Officer and Director of Fiscal Services/HR.

    Preferred Skill but not necessary
