    The Billing Administrator ensures accurate and timely processing of highly detailed, client-specific invoices, credit card transactions, driver payroll, and financial reporting. The Administrator will help manage a team of billing and accounting clerks, maintain compliance through internal controls, and support audit and reconciliation efforts. The Administrator will help maintain an organized billing operation and promote efficiency within the accounting department.

    Billing Administrator Job Responsibilities and Duties:

    • Oversee daily billing for black car and limo services, process credit card payments, and balance transaction entries.
    • Generate weekly batched customer invoices and monthly revenue reports for black car and limo services.
    • Manage monthly billing for various high-volume contracts.
    • Assists accounting staff with billing processes, review activity to ensure accuracy, and help resolve inconsistencies.
    • Assists local Controller with monthly reconciliations, reporting, and data analysis.
    • Ensure billings adhere to contracts and are accurately and timely processed in the billing system.
    • Identify, effectively communicate, and help managers resolve billing issues.
    • Monitor A/R aging and assist in collection efforts.
    • Provides customer support to clients with disputes, concerns, and inquiries.
    • Handle miscellaneous check payments and credit card payments.
    • Review daily taxi trip vouchers for accuracy and completeness.
    • Organize and submit driver payroll reports for processing.
    • Distribute administrative and financial correspondence to appropriate managers and departments.
    • Conduct petty cash counts and balance reconciliation.
    • Supports internal and external audits with research and documentation.
    • Identifies simplification, efficiency, and automation opportunities.
    • Develop an expert level understanding of billing system functionality
    • Maintains consistent communication with company leadership and accounting staff to review operational efficiencies, daily processes, and best practices.
    • Ensure compliance with company policies, & state and federal regulatory bodies.
    • Other projects and duties as assigned.

    Billing Administrator Qualifications and Skills

    • Degree or 3+ years of experience in accounting, finance, or a related field.
    • Experience in billing, accounting, and/or financial operations.
    • Experience and ability to gain further expertise of transportation accounting systems and their interfaces into respective billing systems.
    • Experience with a large customer base and high transaction volume.
    • Strong Administratory and leadership skills.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Excellent organization skills and attention to detail.
    • Strong analytical and problem-solving skills.
    • Thorough understanding of policies and procedures used in accounts receivable and billing.
    • Ability to translate and analyze data into reports.
    • Proficiency with Microsoft Office Suite.
