    Position Overview

    CRDN of Houston is looking for a detail-driven, highly organized Billing/Production Administrator to join our professional team. This role is essential for ensuring accurate, timely, and transparent billing practices for restoration services. This role will also provide support to the Operations Manager in administrative duties detailed below. The ideal candidate brings a proactive mindset, excellent communication skills, and the ability to work both independently and collaboratively. This position reports directly to the Territory General Manager.

    Responsibilities

    · Answer and direct phone calls promptly; take accurate messages and ensure timely follow-up.

    · Respond to general inquiries regarding services, scheduling, and project updates.

    · Review field documentation and hours worked from field staff for accuracy.

    · Prepare field files for teams daily for readiness on new calls.

    Enter work orders, job details, and updates into the company’s restoration management software. (RestorNet, TPAs, etc. with consistent documentation.)

    Communicate with insurance adjusters, homeowners, and subcontractors to facilitate documentation and job progress.

    Track project timelines and ensure required forms and approvals are properly filed.

    · Prepare, review, and process accurate and timely invoices.

    Follow the established billing QA process and checklist to ensure completeness.

    Edit and adjust billing documentation as needed to meet carrier/TPA requirements and deadlines.

    Monitor and accurately bill monthly storage charges.

    Gather billing data and supporting documentation from internal departments.

    Respond to billing inquiries from clients, contractors, and insurance adjusters.

    Schedule deliveries as needed and provide billing-related support during job progress.

    Handle client communications with professionalism and empathy, especially in sensitive situations.

    Maintain accurate and organized digital and physical billing records.

    Submit weekly billing reports to the finance department.

    Assist with collections and follow-up on outstanding invoices.

    Conduct periodic audits to ensure billing accuracy and compliance with standards.

    Resolve billing discrepancies and recommend process improvements.

    Verify that all job documentation, including photos, aligns with invoiced services.

    Collaborate with customer service, production, and leadership teams to ensure smooth billing operations.

    Provide regular updates to the Territory General Manager.

    Job Requirements

    Must be 18 years of age or older.

    Valid driver’s license with insurable driving record.

    Reliable personal transportation.

    Strong attention to detail and accuracy.

    Ability to manage sensitive client situations professionally.

    Qualifications

    1–2 years of experience in billing, finance, project coordinating, or a related field.

    Proficiency in Microsoft Excel, Word, and Outlook.

    Experience with billing software (QuickBooks, Xactimate, or similar) preferred.

    Strong time management and organizational skills.

    Experience in the restoration or insurance industry is a plus.

    Excellent written and verbal communication skills.

    Ability to work independently and collaboratively.

    Strong problem-solving skills with a customer-focused mindset.
