    We are looking for an Executive Assistant

    COMPENSATION IS BASED UPON EXPERIENCE

    Essential Functions and Responsibilities

     

    Provides executive support and completes a broad variety of administrative tasks for the Executive and Management Teams including coordinating an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

    · Communicate meeting agendas and record meeting minutes as requested

    · Schedules and oversee conference room booking

    · Assists in office buildout and workplace development

    · Manages outlook schedules for the Executive and Management Teams

    · Participates in event planning and acts as chairperson for Party Planning Committee

    · Plans, coordinates and ensures the schedule is followed and respected. Provides “gatekeeper” and “gateway” roles, creating a win-win situation for direct access to the Executive Team’s time and office.

    · Provides a bridge for smooth communication between the office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.

    · Works closely and effectively with the Executive Team and Management Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a ‘barometer” having a sense for the issues taking place in the work environment, keeping the Executive Team updated.

    · Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact.

    · Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the Executive Team’s ability to effectively lead the company.

    · Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.

    · Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.

    · Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.

    · Arranges travel and accommodations for executives, managers and staff

    · Schedules and attends meetings on behalf of executives, taking notes and recording minutes.

    · Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

    · Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

    · Performs additional duties as assigned by executives.

    · Performs other related duties as assigned.

    Required Skills and Abilities

    · Excellent verbal and written communication skills.

    · Excellent organizational skills and attention to detail.

    · Excellent time management skills with a proven ability to meet deadlines.

    · Ability to function well in a high-paced and at times stressful environment.

    · Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

    · Able to type a minimum of 50 words per minute.

    · Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

    Experience and Education

    · High School Degree required, College Degree or equivalent preferred

    · 3+ years of experience preferred
