    Job Summary: We’re looking for a resourceful Executive Assistant partner to our CEO to help her achieve her goals. You’ll form a long-term partnership with the CEO; anticipating her needs, moving quickly, and creatively problem-solving in order to create massive leverage for her time. 

    Responsibilities

    • Manage a heavy calendar; schedule and confirm appointments, coordinate travel (both commercial and private), prepare itineraries, coordinate accommodations, restaurant reservations, ground transportation, etc.
    • Maintain a high level of confidentiality; this position interacts with many high-profile individuals, executives, and celebrities, and is a part of a very small trusted inner circle
    • Must be comfortable being available and on-call 24/7
    • Liaison to directors, business manager, lawyers, publicity reps, personal trainer, nutritionist, etc.
    • Establish effective processes and systems, track deadlines, and follow up on approvals regarding all executives
    • Compose and prepare correspondence, agenda items, reports, presentations, and other documents often of a highly sensitive and confidential nature
    • Coordinate events; plan and help execute personal and business events with care and precision; including purchasing gifts, managing guest lists, and interacting with caterers and/or wait staff in a professional and helpful way
    • Manage phone calls and emails
    • Respond promptly to managers’ queries

    Qualifications

    Education: High school degree or higher 

    Experience: 2+ years as Executive Assistant/Office Manager preferred

    Technologies: A firm understanding of office management systems and ERPs, as well as a proficiency in Microsoft Office Suite and Google Workspace (formerly G Suite)

    About You

    • You are a roll-up-your-sleeves, “get in the weeds,” individual that has experience supporting a CEO or other C-level executive in a fast-paced environment
    • You have a creative eye, sense of style, and taste! 
    • You love making people feel special and building relationships
    • You are a self-starter that can operate independently and run with ambiguous tasks
    • You are incredibly detail-oriented, thoughtful, and proactive
    • You have the ambition to be Chief of Staff  or move into Operations.
    • You have a high EQ and act with empathy and compassion at all times
    • You are approachable and helpful at all times, knowing when and how to block and tackle for your executive
    • You communicate clearly, succinctly, and effectively, in both speaking and writing
