    **Job Summary: **

    This position will provide administrative support for advising deans (both undergraduate and graduate) by managing front office functions, maintaining student records, and assisting with student-facing office functions including some budget management.

    **Essential Functions: **

    • Process approved student registration requests, approved registration changes, and approved internal transfer requests and update Banner (Extender, SZACMNT);

    • Manage front desk operations as the first point of contact for those entering the dean’s office;

    • Assist students with course add/drop and course withdrawals during the semester;

    • Assist students and faculty with inquiries regarding their undergraduate email addresses by either responding directly to their emails or directing them to the appropriate dean;

    • Assist students with reinstatement and readmission processes;

    • Review student travel reimbursement forms and receipts for compliance of travel policies before approving and forwarding them to A/P for processing;

    • Work with A/P and department secretaries to resolve any questions or issues regarding student travel reimbursement forms, receipts, or payment and keep a report of all student travel per department;

    • Assist with managing office P-card expenses and reporting.

    Work Environment:

    On campus full-time position interacting with students in an office setting with an open floor plan. The ability to use communication platforms (Webex, Zoom, Teams) is essential.

    Position Type/Expected Hours of Work:

    Full-time Monday-Thursday 8:30 – 4:30 PM and Friday 8:30 – 3:00 PM. Coverage for events after hours for programmatic and College events occasionally in the evening or on weekends (Open houses, convocations, recruitment).

    **Required Education and Experience: **

    • Minimum of a HS Diploma or equivalent

    • At least 3 years in an office setting

    **Preferred Education and Experience: **

    • Extensive knowledge of Microsoft Office Suite (Word, PowerPoint, Excel & OneDrive)

    • Experience with Ellucian -Banner & course management software (DegreeWorks) beneficial

    • Experience with Concur beneficial

    • Prior work experience in higher education beneficial

    In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $41,000 - $46,500. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.

    This position may be relocated to any of St. John’s University’s physical locations at any time.
