    ASSISTANT BURSAR-ACCOUNTS RECEIVABLE

     

    The Assistant Bursar-Accounts Receivable position oversees and reconciles Accounts Receivable duties of Loan and Tuition Collection, state and federal aid reconciliation with Financial Aid and Business Affairs. Assists in student account inquiries and special circumstances. Is part of the Student Financial Service team and works closely with colleagues in the Customer Service Center.

    Supervises one Loan and Tuition Collection Staff and two student workers.

    CONSISTS OF BUT NOT LIMITED TO THE FOLLOWING RESPONSIBILITIES:

    • Manage In-House Student Accounts Receivable Collection Efforts

      • Statement creation and processing
      • Interest posting
      • Aging and Receivable analysis and reporting
      • NG Check return process
      • Student communication on Pre-Collection Process
      • Administer Pre-Collect Payment Plans
      • Work with IT in Laptop recovery process
    • Manages External Collection Efforts

      • Assignment to collection agencies
      • Maintain contact with collection agencies on assigned accounts
    • Manager Student Refund Processing ensuring compliance with Federal Title IV Credit Balance regulations

      • Run reports for staff refund processing
      • Ensure refunds processed within federal timeframe
      • Review and approve refunds over $10,000
      • Manage refund check returns/stale-dates/reissues
      • Monitor and coordinate special refunding periods
      • Assist Business Affairs with Federal Title IV escheat prevention on un-cashed refund checks
    • Act as the University’s New York State TAP Certifying Officer

      • Complete TAP College Survey annually
      • Responsible for TAP/New York State aid certification
      • Responsible for TAP/New York State aid payment procedures
      • Responsible for monthly reconciliation
    • Manages Federal Perkins Loan and Federal Health Professions Loan Collections

      • Oversee record retention and maintenance
      • Manages Default prevention efforts
      • FISAP reports
      • Act as the University’s liaison with Billing/Collection Agency
      • Act as contact with Federal Loan Services for loan consolidations
    • Keep the University Bursar abreast of any issues with student accounts and financial aid which could impact customer service, satisfaction and accounts receivable.

    • Meets and communicates with students to handle and resolve account issues and student concerns

    • Provide good, effective customer service interactions with a diverse population of students, staff, faculty, alumni and outside agencies.

    • Maintain a working knowledge of the NCAA and BIG EAST Conference rules and regulations and St. John’s University Policies and Procedures related to Student Accounts.  Operate within the guidelines, policies and procedures in your area of responsibility within the department to ensure 100% compliance with the NCAA/BIG EAST rules and regulations.

    SUPERVISORY RESPONSIBILITY

    This position manages employees in the Receivables department/function and is responsible for the hiring and performance management of the employee(s) within that department.

     

    WORK ENVIRONMENT

    This job operates in a professional office environment located at the Student Financial Services Customer Service area. This role routinely uses a computer, standard office equipment such as copiers, phones/voice mail, fax, scanner, printers, etc. This individual is routinely exposed to indoor environment with moderate noise level and on occasion may need to work outside. The job is an on campus position, but individual must be prepared to work remotely if needed and must have own access to Wi-Fi, laptop and a cell phone.

     

    PHYSICAL DEMANDS

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Employee is responsible for physical Perkins/HPL loan files located in Bent Hall and Newman Hall. Employee may also be responsible for envelope and paper handling on monthly billing and statement runs.

    While performing the duties of this job, the employee is routinely required to sit, stand, move about, to carry work, reach with hands and arms, climb stairs, communicate, hear. The employee must occasionally lift or move up to 25 lbs. Specific vision abilities required by the employee include close vision, distance vision, color vision, peripheral vision, depth perception, the ability to adjust focus and all day use of a computer.

    Employee frequently exercises flexibility (ability to shift from one task to another). Employee routinely works within time constraints and maintains attentiveness intensity. Employee frequently involved in social interactions which require oral and written communications. Employee required to hear conversations in moderate noise environments.

     

    POSITION TYPE/EXPECTED HOURS OF WORK

    This is a full-time position. Standard work days  and hours  are Monday through Friday, 8:30 a.m. to 4:30 p.m. Some late night and weekend work is required. 

     

    TRAVEL

    Travel is primarily local and may include visits to the other NY campuses. Some travel required to attend out-of-state conferences and/or professional development; online learning as applicable.
