We are a growing fragrance and beauty company seeking an Accounting finance coordinator/ Bookkeeper to manage our day-to-day accounting operations and support inventory control using QuickBooks online. This role is critical to maintaining financial accuracy, clean inventory records, and smooth coordination between accounting, operations, and leadership.
This is a hands-on role for someone detail-oriented, organized, and comfortable working across teams in a fast-moving entrepreneurial environment.
Monday to Friday - 9am to 5pm
Salary: 55K to 65K Per year
Essential Duties And Responsibilities
Accounts Receivable
- Manage all credit applications, reseller certificates, and legal documents
- Apply customer payments accurately and promptly
- Issue and track customer invoices
- Monitor past-due accounts and support collections follow-ups
- Maintain accurate AR aging reports
Accounts Payable
- Process vendor invoices and ensure timely payments
- Track payment schedules and approvals
- Maintain organized AP records
Inventory Receiving and PO Matching
- Receive inventory into the system against approved purchase orders
- Verify quantities and pricing against vendor invoices and POs
- Coordinate discrepancies with purchasing, warehouse, and vendors
- Ensure inventory receipts are accurately reflected in accounting and inventory systems
Daily Accounting Operations
- Maintain accurate records of daily financial transactions
- Coordinate with logistics on shipment-based invoicing
- Work closely with sales and operations on billing and inventory questions
- Ensure proper documentation and controls for all transactions
Reporting and Visibility
- Prepare weekly AR, AP, inventory receipt, and cash position reports
- Flag discrepancies, risks, or cash flow issues early
- Support month-end close activities
CPA Coordination
- Act as the primary point of contact for the company’s external CPA
Requirements/Qualifications
- Associates/Bachelors degree or students majoring in Business/Economics/Accounting
- Proficiency with QuickBooks Online (required)
- Demonstrated accuracy and attention to detail
- Good oral/written communication and interpersonal skills required
- Demonstrated organizational skills and ability to prioritize
- Good mathematical and analytical skills
- Demonstrates good judgement and discretion when handling confidential information
- Microsoft Office Suite including Outlook, Word, Excel
