Our company is expanding, and we’re looking for a skilled, hands-on Bookkeeper / Accounting Specialist who can lead our daily accounting operations while supporting light office management. This is the perfect role for someone who thrives in a dynamic environment, enjoys solving problems, and takes pride in accuracy and efficiency.
💼 What You’ll Do
As our Bookkeeper / Accounting Specialist, you’ll manage a full spectrum of accounting responsibilities and help keep our operations running smoothly. No two days are the same — but every day you’ll make an impact.
Accounts Receivable
Create and send customer invoices through our ERP system synced with QBO
Manage collections and follow up on overdue balances
Maintain customer terms, credit limits, and account health
Issue credit memos and conduct account audits as needed
Accounts Payable
Process and close vendor invoices
Allocate freight, duties, and additional costs properly
Maintain organized vendor files and conduct vendor audits
Handle weekly bill payments
Banking & Reconciliations
Reconcile 2 bank accounts, 1 credit card, and 1 line of credit
Ensure accurate posting to the chart of accounts
Prepare journal entries for payroll and accruals
Chart of Accounts & Financial Accuracy
Enter new contracts—including those with interest components
Categorize expenses with precision and maintain impeccable records
Payroll & HR Support
Run bi-weekly payroll for 6 employees through ADP
Track PTO and maintain holiday calendars
Manage workers' compensation audits and HR file compliance
Tax & Reporting
Prepare and file quarterly sales tax returns (CDTFA)
Work closely with the CPA for quarterly and annual filings
Ensure full compliance with federal, state, and local regulations
📎 Light Office Manager Responsibilities
Beyond accounting, you’ll be the go-to person for keeping the office running smoothly.
Maintain calendars, renewal reminders, and essential business documents
Track PTO, holidays, registrations, and licenses
Assist with general office administration, filing, scanning, and vendor coordination
Help support a positive, organized, efficient work environment
Coordinate small projects and ensure operational compliance
✨ Who You Are
You’re detail-oriented, trustworthy, and independent — someone who takes ownership and enjoys being the backbone of a company’s financial operations. You’re comfortable working with minimal supervision, but you collaborate well and communicate clearly.
Requirements:
5+ years of bookkeeping/accounting experience
Strong QuickBooks Online proficiency
Experience with full-cycle A/R, A/P, payroll, and reconciliations
Comfortable working with CPAs and in audit situations
Exceptional organization, accuracy, and problem-solving skills
Degree in Accounting/Finance preferred (not required)
