    Job Summary

We are seeking a highly organized and proactive Bookkeeper / Executive Assistant to join our busy sales company! In this role you will support the owner of the company and sales staff. This role offers a unique opportunity for growth into accounting and account management, making it ideal for a motived individual looking to advance their career.

    The ideal candidate will have a proven track record of administrative support experience, strong organizational and communication skills, and the ability to provide excellent customer service.

    Responsibilities

    Support accounting functions, including invoicing, expense tracking, paying bills, reconciling accounts, and preparing financial reporting

    Provide comprehensive administrative support to the Owner, including preparing and sending sales quotations, managing sales and expense documentation, and handling correspondence with clients

    Answering and directing calls, document incoming messages, and follow-up requests

    Manage office duties such as organizing filing systems, improving office efficiencies, and ordering office supplies

    Assist in account management, including client communication, order processing, and preparing sales quotations

    Assist in booking logistics / shipments

    Collaborate with other staff to support seamless operations and customer satisfaction

    Qualifications

    Degree in Business Administration, Accounting, or related field preferred.

    Proven experience as an executive assistant with bookkeeping or accounting experience

    Strong organizational and time management skills

    Excellent written and verbal communication skills

    Proficiency in Microsoft Office Suite, especially with Excel and Word, PDF Editor

    Experience working with Quickbooks is a plus

    Detail-oriented with strong problem-solving abilities
