  • Responsibilities

    As a Bookkeeper, you play a critical role in managing the financial health of an organization by maintaining accurate records and ensuring compliance with financial regulations. You will be responsible for recording daily financial transactions, preparing financial reports, and reconciling bank statements to ensure the accuracy of all accounts. You will work in an office environment and collaborate with other departments to ensure all financial operations run smoothly and efficiently. Your attention to detail and organizational skills help keep the company's finances on track and support strategic decision-making. Responsibilities: • Evaluate current procedures and introduce impactful bookkeeping improvements • Supervise day-to-day financial dealings and keep records accurate • Coordinate efforts to meet financial regulatory standards and company policies • Create financial reports and circulate them among stakeholders to support decision-making • Conduct regular reconciliation of bank statements and accounts to uphold accuracy Financial Reporting & Analysis Prepare and maintain accurate monthly financial reports, including: • Balance Sheet • Detailed expense and income tracking across all funds • Settlement and Payout Ledger • Gross fee reporting • Payout date tracking • Referral fee tracking • Staff bonus and percentage payout tracking • Budget variance reporting • Projection vs. actual financial analysis • Cash flow and income statements • Operating account balance reporting • Trust account balance reporting • Advocate expense reporting • Average case balance analysis • Identification of cases carrying the largest balances • Quarterly and 6-month advance cash flow forecasts Bookkeeping & Account Management • Reconcile all accounts monthly • Track and manage referral fees • Process payroll and bonuses • Manage payroll tax reporting and payments • Manage and maintain QuickBooks Online (QBO) • Ensure all credit card balances are paid promptly • Ensure all third-party vendors are paid on time • Ensure all bills and obligations are paid promptly • Manage and allocate advocate expenses • Reconcile advocate expenses when cases pay out • Conduct weekly 1-hour financial review meetings with firm ownership • Monitor and maintain operating account thresholds Accounts & Financial Systems Managed The Bookkeeper will oversee and maintain the following accounts and processes: • IOLTA / Trust Account • Operating Account • Tax Account • Marketing Account • Bonus Account • Profit Account • Advocate (Case Expense Funding) Account • Credit Card Accounts (Operating and Case Expenses) • Line of Credit (LOC) for operating expenses as needed Qualifications: • Ability to maintain organization with a focus on details • Familiarity with accounting tools such as QuickBooks is beneficial • Completion of a bachelor's program in Finance or Accounting • Familiarity with GAAP and financial reporting • Minimum of five years in a bookkeeping role • Minimum 3+ years of bookkeeping or accounting experience preferred • Experience working in a law firm is strongly preferred • Proficiency with QuickBooks Online (QBO) • Strong understanding of trust accounting and financial compliance • Experience managing payroll and payroll taxes • Excellent organizational and analytical skills • Close attention to detail and accuracy • Ability to maintain confidentiality and professionalism • Strong communication and problem-solving skills Preferred Skills • Experience with legal settlement accounting • Knowledge of IOLTA trust accounting rules • Financial forecasting and budgeting experience • Ability to analyze cash flow and firm performance trends • Experience managing multiple accounts and financial entities Compensation: $43,000 - $46,500 yearly
