    Job Summary

    We are seeking a talented Bookkeeper to join our team. In this role, you will work closely with the Accounting department to maintain accurate financial records and ensure the company’s compliance with all legal requirements. Your responsibilities will include recording and verifying transactions, bringing the books to the trial balance stage, and completing tax forms. The ideal candidate is detail-oriented, highly organized, and has a strong understanding of best practices in accounting.

    OFFICE JOB DESCRIPTION:

    · Phone/Switchboard (Answer call and manage answering service)

    · Business Contracts (Fill out all company information for new Vendors and Customers)

    · Insurance Employee (Manage employees insurance payment/plans and certificates. Keep plan current and competitive)

    · Insurance Auto (Keep auto insurance up to date and provide cards for vehicles. Fill out auto insurance form)

    · Insurance Operation (Make sure all jobs are insured properly with the correct coverage. Adjust when necessary. Manage work compensation process and payments)

    · Insurance Building (Keep current with Deco AV Building insurance coverage)

    · Insurance (Provide new customers and vendors necessary insurance information)

    · Office Equipment: (Keep office equipment in working order. Schedule maintenance when necessary and the necessary supplies)

    · Office Supplies (Replenish when necessary and order additional when needed)

    · Fuel and Credit Cards (Manage and provide cards. Keep track and report usage from employees)

    · HR/Employee Onboarding (Manage all employee/1099 onboarding, license-ID-insurance enrollment. Track vacations and time off. Tax deductions. Setup auto pay for bank payroll. Cell phone allowance.

    · Payroll/Timekeeping (Calculate time from work schedule, Input into Payroll program. Follow thru to make sure results are correct and deposit has been made)

    · Filing/Documentation (File all business transactions/documents/records in appropriate file cabinets.

    · Taxes (CRITICAL---Pay City-State-Kentucky taxes by due date. Report all tax issues-letters-other correspondence to Jeff Epperson. Make sure scheduled autopayments are paid. Calculate sales tax for service and installs. Pay all sales tax. Coordinate with accountant.

    · Accounts Receivable (Input checks, online payments, and credit card payments into QuickBooks. Deposit all into reconcile bank accounts QB’s)

    · Accounts Payable (Pay monthly bills, all insurance, rent, phone, vehicle loans, sales tax unemployment collection, tax bills, answering service, Riverlink, Pitney Bowes, ups, Identicard, ScanSource, Graybar, ADI, Computer Connections and other expenses.)

    · Sales (quote and manage box sales. For example: GE cards, GE equipment, Card orders, Michelin, Baptist East Cards, call in orders, and card orders.

    · Report calls in service calls to software and verbally to management.

    · Schedule techs hotels and per dem when they travel.

    · Invoices (Take techs time and notes to calculate invoices for service. Invoice quoted jobs and box sales.

    · Ordering Parts (provide PO for ordering parts and order parts for service and installation jobs. Manage the receiving of parts and any RMAs that occur)

    · Manage safety handbook for insurance and workman’s comp.

    Qualifications

    Bachelor’s degree in accounting or a related field

    Previous experience as an accountant, bookkeeper, or similar position

    Knowledge of generally accepted accounting principles (GAAP)

    Good with spreadsheets, experienced in Microsoft Excel, QuickBooks, and basic accounting systems

    Strong mathematical and analytical skills

    Excellent attention to detail, time management, and communication skills
