    Job Description

    Executive Assistant support to VP Indirect Purchasing and basic assistance to Directors/Team-members. Full spectrum of administrative tasks, including management of schedule, coordination calendar, travel arrangement, email support with follow up and keeping deadlines. Scheduling and coordination of steering committees and other meetings. Support travel arrangements and expense reports. Upon request, prepare presentations and other documents. 

    The ideal candidate will have strong communication skills with the ability to work independently, manage a dynamic calendar and travel schedule, and effectively handle a variety of activities and confidential matters with discretion. The individual serves as the primary point of contact for all matters pertaining to the VP. 

    Major Duties:

    • Assisting and prepare for key meetings, accurately recording minutes from such meetings and follow up of action items thereof

    • Use discretion and business judgement for filing, archiving and retrieving corporate records, documents and reports in shared folders / 3rd party document retention providers

    • Associate Satisfaction (ASxx) and Customer Satisfaction (CSS) surveys coordination, result analysis, and measure follow up

    • Ability to conduct research and present data in a succinct and well-written manner

    • Maintain organization chart, Personnel reporting tool and associate names list including updates BGN for America team

    • Maintain communication matrix for leadership team, Bosch Connect updates and Quarterly News Letter

    • Composing and preparing correspondence

    • Support other projects and improvement activities in team

    • Acting as the administrative / Ist point of contact between the Indirect Purchasing Executive office and internal/external clients including at senior management levels

    • Answering phones and routing calls to the correct person or taking messages and routing correspondence to correct persons especially in executive absence

    • Reading and analyzing incoming correspondence, submissions, and distributing them as needed

    • Handling basic bookkeeping tasks re department P Card

    • Assisting Executive office with administrative duties and completes a variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; arranging travel plans, itineraries and agendas

    • Greeting visitors and deciding if they should be able to meet with executive and or others in the organization.

    • Performing small office duties that include ordering office supplies and promotional materials

  • Qualifications

    Qualifications

    • Bachelor’s degree in Social Sciences or Business background, preferred.
    • In case of missing education qualification, proven experience as an Executive Assistant or other relevant similar roles / experience working independently is required.

    Preferred Skills:

    • Strong interpersonal skills and the ability to work with a broad range of people including staff, senior management members and external partners
    • Due to the confidentiality of the work at the functions of this position, a good business acumen and confidentiality is highly expected
    • A proactive approach to problem-solving with good decision-making skills
    • Full comprehension of office management systems / procedures with an in-depth understanding of entire MS Office suite and data analytic tools like Power BI.
    • Curious mind that can stay up-to-date with advancements in office gadgets and applications in new digital era.
    • Professional level verbal and written communications skills. Proficiency in English with excellent writing, editing, grammatical skills
    • Strong organizational & time management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Must be able to meet deadlines in a fast-paced quickly changing environment
    • An interest in national and global issues.
    • Occasional travel may be involved.
