    BOSTON PLANNING & DEVELOPMENT AGENCY

    BOSTON RESIDENCY IS A CONDITION OF EMPLOYMENT

    TITLE:    HUMAN RESOURCES GENERALIST

    GRADE:     I            STATUS:    EXEMPT

    DIVISION/DEPARTMENT: HUMAN RESOURCES

    SUMMARY OF RESPONSIBILITIES:

    Under the direction of the Director of Human Resources, manages the day-to-day operations and performs duties in all areas of the HR office.  The generalist carries out responsibilities in the following functional areas: HRIS, benefits, employment, recruitment, monthly board preparation, organizational development, the internship program, and other administrative duties as assigned.  

    GENERAL DUTIES AND RESPONSIBILITIES:

    General duties and responsibilities of the position are included in but not limited to the information listed below

    •    Provide general administrative and office support (i.e. file updates, office supplies, records management, answering HR general email/phone extension, triaging employee requests, etc...). 

    •    Responsible for the coordination and oversight of the monthly personnel board information.  This process includes working with the Director of Human Resources in putting together the complete board packages, creating the appropriate forms, and ensuring signature. 

    •    Responsible for the on-boarding process which includes, but is not limited to the following:   gathering pre-employment documentation, scheduling and conducting orientations, entering new hire and other employee information into HRIS system, creating new employee personnel files, sharing new employee biographies with the Agency and updating the staff directory.  

    •    Support overall benefits administration, including sending out agency wide communications, assisting setting up various benefits fairs, coordinating with outside vendors, participating in the open enrollment process and answering employee benefits questions.  

    •    Help manage the Agency internship program by conducting full cycle recruitment of all interns, from posting internship descriptions, sourcing/advertising to orientations and onboarding. Maintain accurate records of all interns’ through direct contact with supervisors and hiring managers.  

    •    Maintain all personnel files, including employee training records, in electronic and paper form.  Work with the Records Management team to coordinate label and destruction of archived HR file boxes.  

    •    Assist in managing the professional development, seminars, tuition reimbursement, travel and professional dues request and reimbursement process - ensuring necessary documentation is completed accurately, submitted with proper approvals and adheres to overall agency policies and procedures.  

    •    Support the Agency company wage and salary structure process and the variable pay systems within the Agency, including bonuses and raises.

    •    Assist with coordinating special projects on behalf of the Director of Human Resources, such as the annual residency certification process, Statement of Financial Interest, and any other HR initiatives.  

    •    Pull/prepare files for Auditors as needed. Maintain compliance with federal and state regulations concerning employment (I-9, residency, etc.).

    •    Help with the annual performance evaluation process, tracking all job description changes, employee evaluations received. 

    •    Participate in administrative staff meetings and attending other meetings and seminars.

    •    Protect the interests of employees and the company in accordance with company Human Resources policies and government laws and regulations.

    •    Perform other related duties as required and assigned.

    QUALIFICATIONS:  

    Work requires a Bachelors’ degree or equivalent related experience plus 3years of work experience in a Human Resources department.  Must have technical knowledge and experience with various Human Resources Information Systems (HRIS), including iCIMS and ADP software.  Proficiency with Microsoft Office software and Google, etc. is required.  Strong verbal and written communication skills necessary.  Exemplary organizational and project management skills, attention to detail and ability to manage multiple projects simultaneously critical.  The ability to prioritize, multi-task and adapt to changing priorities in a fast paced environment essential.  Must have experience with and the ability to handle sensitive information with confidentiality. 

    WORK ENVIRONMENT:

    Normal office environment.
