Administrative Assistant I – Job Description
Position Summary
The Administrative Assistant I classification is intended for personnel who possess a higher level of experience and responsibility than an Administrative Assistant – Entry Level. Individuals in this role perform routine clerical and administrative functions and are capable of completing more complex administrative tasks with limited supervision. The Administrative Assistant I supports departmental operations by providing reliable, accurate, and timely administrative assistance.
This position is part of a temporary administrative staffing assignment supporting Bowens Business Solutions LLC at its headquarters in Washington, DC.
Examples of Tasks and Responsibilities
The Administrative Assistant I may perform, but is not limited to, the following duties:
Drafting, formatting, and proofreading routine correspondence, memoranda, reports, and emails
Scheduling appointments, meetings, and conference calls; maintaining calendars
Organizing, maintaining, and retrieving paper and electronic files in accordance with established procedures
Responding to telephone inquiries and providing accurate information to callers or directing inquiries to appropriate staff
Assisting with document preparation, data entry, and basic report generation
Scanning, copying, filing, and distributing documents
Supporting administrative workflows related to program operations and general office functions
Performing other related clerical and administrative duties as assigned
Examples of Equipment and Software Used
Administrative Assistant I staff must be proficient in the use of standard office equipment and software, including but not limited to:
Personal computer
Electronic fax (E-Fax) systems
Photocopiers and scanners
Microsoft Office Suite (including Word and Excel)
Google Platform (e.g., Gmail, Google Drive, Google Docs, Google Calendar)
Document scanning and management software, such as DocuShare Community Development (DHCD)
Minimum Qualifications
Prior experience performing administrative or clerical support functions in an office environment
Demonstrated ability to handle multiple tasks, prioritize work, and meet deadlines
Proficiency in Microsoft Office applications and basic computer operations
Strong organizational, communication, and customer service skills
Ability to work independently while following established procedures and guidelines
Work Environment
Work will be performed onsite at client's headquarters in Washington, DC unless otherwise directed
Bowens will provide normal office working facilities and equipment reasonably necessary for performance
