    Job Description

    ORGANIZATION OVERVIEW: The Boys & Girls Clubs of the Peninsula (BGCP) is the largest expanded learning time organization in Silicon Valley, serving over 2,500 K-12 students at 13 sites in East Palo Alto, Menlo Park, and Redwood City. In neighborhoods where 1/3 of the youth drop out of high school, BGCP members learn the importance of education and become part of a community of learners, wanting and expecting to succeed in school. In three clubhouses and ten school sites, we implement proven social and academic interventions that most impact a child’s achievement in school and in life.

    POSITION OVERVIEW: As Office Clerk, you will work collaboratively with the on-site leadership team and program staff at our Redwood City Clubhouse location, where we provide academic support to high school students. You will provide office, administrative, and logistical support to ensure our program can run in an efficient and safe manner. Spanish fluency is required.

    EMPLOYMENT STATUS: Part-Time (either morning shift or afternoon shift) EXPECTED WORK HOURS: Monday- Friday, either 7:30am-12:00pm or 12:30pm-5:30pm  COMPENSATION: $17.50 per hour LOCATION{S}: Redwood City

    WHAT WILL YOU DO?

    ADMINISTRATIVE & SITE MANAGEMENT

    • Manage the BGCP office and associated operations during program hours
    • Greet, monitor, and track all members and visitors on site, including parents and volunteers
    • Manage student sign-in and sign-out process
    • Answer all phone calls and return messages in a timely manner
    • Manage office, first aid, and program supply inventories
    • Ensure that the office is neat and organized and fosters physical and emotional safety and customer service
    • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers
    • Manage daily snack and lunch processes (if applicable)
    • Participate in planning and executing special events as needed (if applicable)
    • Covid-19 Safety Protocol (training will be provided): Perform basic symptom checks, which could include using a non-contact thermometer and asking pre-set screening questions, to help ensure wellness and safety of all who enter the technology space
    • Undertake other duties as assigned

    ENROLLMENT, ATTENDANCE, & DATA MANAGEMENT

    • Manage site enrollment and daily attendance
    • Enter all enrollment data in Salesforce, BGCP’s database
    • Generate and communicate attendance and membership reports for site leadership staff and to meet ASES reporting requirements

    STUDENT, PARENT, & OUTSIDE PARTNER RELATIONSHIPS

    • Build positive relationships with students in the program
    • Support and maintain BGCP behavior standards and discipline policies
    • Set high expectations for students and demand compliance
    • Supervise youth if asked to, either in the office or as coverage for a classroom instructor
    • Communicate with students and families regarding enrollment and attendance issues
    • Greet and welcome parents into the program on a daily basis
    • Communicate and disperse information about upcoming events and activities to members, families, and the public. Ensure that all information posted and dispersed is up to date and accurate.
    • Maintain positive relationships with all staff, students, volunteers, outside partners, as well as all visitors.

    WHAT QUALIFICATIONS AND REQUIREMENTS ARE NEEDED?

    • Spanish fluency is required
    • Keen attention to detail and ability to create systems for efficiency and effectiveness
    • Maturity and strong communication skills
    • Energy, leadership skills, strong initiative, ability to motivate through positive reinforcement
    • Positive attitude, team player, strong customer service orientation
    • Administrative experience with an excellent knowledge of standard office practices
    • Negative COVID-19 test result (prior to start)
    • Cleared background check & negative TB Test results (prior to start)
    • Mandated Reporter Training certification (prior to start)
    • Sexual Harassment Training certification (prior to start)
