Position Summary
The Branch Administrator plays a key role in supporting the operational, financial, and administrative functions of the branch. This position serves as the primary point of contact for internal staff, clients, and external vendors, ensuring smooth day-to-day operations and alignment with corporate policies and systems. The Branch Administrator works closely with the General Manager, Account Managers, and corporate teams to provide accounting, client, administrative, facilities, and fleet support. The Branch Administrator is a key partner in maintaining operational efficiency and organizational support for landscape operations. This team members reports to the General Manager of a local branch.
Key Responsibilities
As one of our Branch Administrators, you will have the following areas of responsibility:
Accounting & Client Support
Enter materials invoices into Aspire, the company's business management software.
Review and manage open purchase orders, ensuring items are properly received or cancelled.
Match invoices against purchase orders and approved receipts.
Reconcile and distribute client invoices through Aspire.
Review and approve local invoices for payment.
Partner with the General Manager, Account Managers, and Corporate Finance team to address overdue client accounts.
Manage local month-end accounting activities.
Review and interpret weekly accounts receivable reports prepared by Corporate Finance.
Support Account Managers with contract renewal management, including data entry and report generation in Aspire.
Maintain client and customer files, records, and documentation.
Branch Administrative Support
Serve as the “face of the branch” by answering phones, greeting visitors, managing incoming and outgoing mail, and providing front-office support.
Partner with supervisors and managers to ensure accurate timecard submissions; review and approve payroll data and distribute manual checks as required.
Act as a liaison to assist employees with questions and direct them to appropriate resources.
Plan, prepare for, and participate in weekly Operations Meetings.
Provide light onboarding support in coordination with corporate teams and maintain employee files.
Manage PTO requests, forms, and shared branch calendars.
Oversee uniform distribution, management, and returns.
Manage branch supply needs, including inventory, ordering, and cost control.
Support corporate requests for data, reporting, and special projects.
Serve as the branch point of contact for workers' compensation, coordinating communication between employees, managers, insurance carriers, and corporate teams.
Manage local technology needs, including Atlas and Verizon device administration.
Facilities & Fleet
Serve as the primary contact for branch facility needs, including inspections, identifying improvements, and coordinating vendor services.
Manage fleet-related activities, including procurement of vehicles, fuel card distribution, tag renewals, and registrations.
Ensure all branch business licenses remain active and coordinate renewals.
Additional Information
The responsibilities of this role may fluctuate depending on branch activity (e.g., onboarding new employees, handling workplace injuries, or addressing facility/fleet issues). Workload may increase or decrease accordingly, requiring flexibility to adapt to changing branch needs.
Qualifications **& Core Competencies **
High school diploma or equivalent required; associate's or bachelor's degree preferred.
3-5 years of administrative, accounting, or office management experience; prior experience in construction, landscaping, or field service industries is a plus.
Experience supporting payroll, accounts payable/receivable, and vendor coordination is a big differentiator.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams/SharePoint).
Ability to quickly learn and operate industry-specific software (e.g., Aspire for business management.)
Strong data entry and recordkeeping skills with high accuracy and attention to detail.
Excellent organizational and multitasking abilities; able to manage competing priorities in a fast-paced branch environment.
Strong interpersonal and communication skills for working with clients, vendors, and employees.
Problem-solving mindset with the ability to address issues independently and escalate appropriately.
Customer-service oriented with a professional demeanor, serving as the “face of the branch.”
Ability to maintain confidentiality and handle sensitive employee and financial information.
Bi-lingual (English & Spanish) required.
Work Environment
Office-based role with frequent interaction across branch operations, finance, and corporate functions.
May occasionally require light physical activity such as managing uniforms, office supplies, or files.
Willingness to adapt to seasonal workload fluctuations common in landscaping operations.
