    As Brave Care continues to grow we're looking for an Clinic Operations Admin Assistant to help support our Clinical Operations team. This is a great opportunity to be part of a practice and company changing the way children and families access and receive care. This role requires being based in the Portland, OR area.

    Brave Care's mission is to help every child reach their full potential. We provide the most complete pediatric care for kids; covering primary care, urgent care & telehealth. We build the end-to-end software to create the most empathetic and efficient in-clinic care experiences as well at-home support for parents. 

    We're looking for an empathetic, detail oriented, multitasker with excellent communication skills who is motivated to bring their best self to support the Clinic Operations leadership team.  As a company with complex interdependencies and cross-functional teams, you'll help leadership stay organized and focused on their highest priorities. You'll collaborate with them daily to accomplish a wide range of administrative tasks so they can focus on leadership and strategy.

    IN THIS ROLE YOU WILL… 

    • Report to the Clinic Operations Manager 
    • Support the Clinical Operations team including the 
      • Director of Clinic Performance 
      • Director of Clinic Success

       

    • Support the day to day operations of our pediatric clinics including 
      • Inventory support 
      • Facilities support 
      • Community event Support
      • External vendor support
      • General clinic operations support

       

    • Work side by side with the Clinic Operations department leaders to prioritize tasks and projects
    • Employ strategic time management by managing and prioritizing complex calendars, thoughtfully scheduling meetings, and resolving scheduling conflicts
    • Draft department communications to the clinic team  (including email, memos, documents, presentation decks, and reports as requested or as circumstances dictate)
    • Attend meetings, communicating agendas, taking notes, and tracking action items
    • Serve as an extension of the Clinic Operations leadership team, taking on a wide breadth of tasks and responsibilities so that they can refocus on other areas as necessary
    • Deepen your understanding of the responsibilities and tendencies of the Clinic Operations leadership team support so that you can anticipate needs proactively and work autonomously to get ahead of them
    • Autonomously navigating shifting priorities and requests
    • Proactively contribute insights and ideas that improve team process or culture
    • Determine methods and best practices for new projects or assignments
    • Support various administrative tasks including helping complete expense reports and booking travel

     

    YOU'LL BE A GOOD MATCH IF… 

    • Experience working in a healthcare setting and knowledge of medical inventory is highly preferred
    • Excellent interpersonal skills; you build trust easily
    • Strong project management, time management, and prioritization skills
    • Extreme discretion with confidential information
    • The ability to move quickly and context switch and manage your own bandwidth and boundaries
    • A clear and effective communication style and the ability to tailor your message to different audiences
    • Ability to work independently and as a member of cross-functional teams
    • Exceptional organizational and time management skills, with strong attention to detail and a proven ability to take ownership of multiple projects
    • Demonstrated ability to handle confidential information with discretion and emotional intelligence
    • Ability to exercise strong business judgment, meet deadlines, and balance numerous requests
    • Excellent problem-solving skills, with an ability to recognize opportunities and develop ways of addressing them
    • Optimistic, reliable, and flexible attitude

    YOU'LL NEED TO HAVE…

    • Minimum of 3+ years of experience as an administrative assistant supporting a minimum of one senior level leader
    • Extensive knowledge of Google G-Suite Apps: Gmail, Calendar, Docs, Sheets, Slides
    • Preferred; knowledge of Asana or similar project management software 
    • Acquire and maintain current Basic Life Support (BLS) certification
    • Show proof of vaccination status for COVID-19 (subject to accommodations)

    • $60K - $75K/year

We see pediatric patients cradle to college, for a variety of conditions including cold and flu, fevers, vaccinations, broken bones, and allergies. Open 7 days a week, we provide a convenient and cost-effective alternative to standard primary, urgent care facilities, and emergency rooms. Brave Care has an onsite lab and x-ray and is focused on both primary and immediate care for children and young adults.
