Job Description

This coordinator position plays an integral role in providing clerical and administrative support to the Architecture and Estimating departments.

Responsibilities include:

• Manage the flow of information between Architecture, Estimators, clients, subcontractors and consultants.
• Provide accurate and up to date information to the team regarding permits, change orders, contracts, proposals, drawings and additional correspondence as needed. 
• Archive completed project documentation for Architecture and Estimating. 
• Update subcontractors and suppliers in our computer system.
• Order, maintain and update supplies and equipment needed for the departments. 
• Maintain product and code resource libraries. 
• Schedule and organize presentations with vendors. 
• Attend job meetings as necessary. 
• Manage and prioritize incoming from both internal and external customers. 
• Collaborate with other department coordinators and reception for coverage and cross-train to provide back-up support as needed,

Qualifications

Ideal candidates will have the following:

• Proficiency in all Microsoft Office including word, excel and outlook. 
• Motivated professional with ability to meet deadlines and prioritize work. 
• Demonstrated ability to get results by building relationships, communicating effectively and being a strong team player.
• Focus on internal and external customer needs.
• Ability to switch gears quickly and manage multiple projects simultaneously. 
• Technically savvy with the ability to learn new systems. 
• Knowledge of the construction industry preferred, but willing to train the right person.
