Making an excellent first impression is critical for this role. You are the first and last impression of our practice. This position requires someone with excellent customer service skills, multi-tasking abilities, well organized, self-motivator, cheerful, professional and polished.
We are looking for someone who can learn about and explain the procedures we offer to callers. You will set the tone for each patient experience throughout their journey with our practice. The right person must possess a sense of ownership and pride in their performance and its impact on the company’s success. Your goal should always be to make our patients feel comfortable and cared for while in our office.
Specific Job Description
Greet patients promptly in a friendly, upbeat and courteous manner
Act as a liaison between patients, providers and staff
Answer phones, taking messages, screening, transferring calls or distribute message and follow-up
Schedule and confirm patient appointments, convert incoming patient inquiries to booked consultations and services
Verify schedule efficiency
Master a basic understanding of each service offered
Enter charges, take payments and balance daily
Manage and maintain patient loyalty programs
Receive, sort, and distribute daily mail and packages
Ensure reception area and front desk area is always clean, tidy and presentable
Monitor office supplies and keep accurate inventory
Monitor and update records and files
File correctly by alphabetic systems
Have strong verbal and written skills
Support evening marketing events when needed
Qualifications, Experience and Skills
5+ years of customer service experience, customer service in a luxury spa or plastic surgery office is a plus
Ability to interact in a consistently professional and courteous manner with co-workers, patients, physicians, and all others with whom contact occurs in the workplace.
Ability to communicate clearly in person and on the phone, and establish/maintain cooperative relationships with patients and their families
Critical thinker and able to adapt to a challenging environment

Ability to multi-task and prioritize
Social media a plus
High school diploma or GED
