    BrightStar Care of Ventura & Oxnard is looking for an Office Assistant to support the Administrative Assistant/Branch Manager with administrative functions to permit the Administrative Assistant/Branch Manager to focus on strategic obligations.

    We are looking for a master multi-tasker with outstanding communication skills and a positive attitude. The individual we are seeking should always be prepared, responsive and willing to meet each challenge directly.

    Office Assistant Responsibilities:

    Performs general office duties, including, but not limited to, data entry, copying, faxing, scanning, sorting/distributing mail, providing reception and telephone service

    Performs secretarial duties related to screening calls and facilitating communication for Team Managers and other staff between patients, families, and other companies

    Assist with entering new patient records in the system ensuring accuracy of all patient demographic information

    Assist with eligibility/insurance verification

    Assist with Scheduling LVNs, RNs, CNA’s and CHHAs

    Coordinates departmental meetings and events, schedules meetings with outside clients, and acts as the liaison between executive and various departments

    Organizes and communicates incoming and outgoing electronic communications on behalf of the VP, including correspondences, reports and memos

    Handle special projects and department specific assignments, sometimes on an urgent basis

    Analyzes and works with department leads to improve and enhance processes for greater efficiency and ease within the organization

    Local Errand Running- within 20-mile driving distance

    Administrative Assistant Qualifications:

    Minimum of 2+ years of administrative experience, effectively supporting multiple leaders at one time • Expert level knowledge of Windows desktop computer applications, Microsoft Office (Word, Excel, PowerPoint), Google Docs (Slides, Excel and Word)

    Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency.

    Ability to multitask and act quickly from one task to another, seamlessly and professionally

    Must have a valid Driver’s License, Auto Insurance

    Degree in Business, Public Health, Communication, Psychology, or related fields - Preferred
