    Job Description

    As the Operations Assistant in San Francisco, you will help keep things moving smoothly across all teams and offices. Some of the most demanding days will start a little early and end a little late. Some of the most rewarding days will end with you providing the most unique solution to a complex problem that keeps operations moving forward as planned.

    In this role, youll be responsible for providing administrative support to three members of our leadership team by mastering the art of calendar Tetris, coordinating travel arrangements, and helping us see around corners. Youll also provide support to our daily office operations (when we all return that is!) by arranging team gatherings, managing facility operations, keeping our spaces clean, and stocking our pantries with snacks. In this role, youll work closely with the Director of People & Operations and the rest of the internal operations team to ensure operations across the agency are coordinated and running smoothly.     RESPONSIBILITIES:

    • Manage the schedules of our three west coast Partners, when sometimes the shifting time slots feel more like a playing video game than coordinating a calendar.
    • Arrange travel transportation, meals, lodging for the same three Partners that work seamlessly from start to finish.
    • Manage the daily San Francisco office operations welcoming visitors, keeping pantries stocked, filling office supplies, ensuring cleanliness in all conference rooms and offices, and more.
    • Maintain relationships and coordinate with building management, external partners and vendors.
    • Champion a strong culture by supporting cross-office and team events, celebrations, programs, and staff engagement initiatives.
    • Collaborate with our internal team to keep day-to-day operations across the agency running smooth and efficient.

    REQUIREMENTS

    YOU SHOULD CONSIDER APPLYING IF YOU HAVE/ARE:

    • Professional. We try not to take ourselves too seriously at BPI, but were also a business with a lot of moving parts. A dropped ball or a poorly coordinated calendar can lead to bigger challenges.
    • Experience as an executive assistant or in an internal operations role. Where youve been the champion making things happen in the craziest of times, yet no on-looker was the wiser to the logistical feats being accomplished behind the scenes.
    • Thrive working in a collaborative environment and get along with all levels of clients and team members.
    • Outstanding project management, written, and verbal communication skills.
    • Strong attention to detail, in addition to organizational and time management abilities.
    • Thrive in fast-paced environments while juggling multiple projects and working across teams, time zones, and conflicting timelines.
    • Proficient in the Microsoft Office Suite and enjoy learning new software programs

    EMPLOYEE STATUS: Full-Time, exempt

    SALARY & BENEFITS:

    • The minimum salary expectation for this particular position is $58,000 dependent on relevant experience
