    ABOUT THE ROLE: Provides professional, technical, and administrative assistance with Emergency Management programs and activities and acts as the Director in their absence.

    CANDIDATE REQUIREMENTS:

    • Requires an associate degree (or 60 semester hours of college credit) from an accredited college or university validated by transcripts with major coursework in administrative or business support functions, and two (2) years of work experience performing a variety of administrative support tasks.  Additional work experience performing progressive and comprehensive administrative support may substitute for the education requirement on a year-for-year basis. 
    • Must demonstrate skills researching, preparing, writing, and editing official communication documents, proposals, and plans.
    • Excellent organizations skills with the ability to multi-task with frequent interruptions while remaining calm, organized, and accurate.
    • Ability to independently prioritize workload, work under pressure with tight timelines and changing priorities, and simultaneously manage multiple projects.
    • Proficient in Microsoft Office Suite (including Word, Excel, Outlook, and PowerPoint applications).
    • Must possess excellent interpersonal communication (written and verbal), analytical and decision-making skills, and be proficient in the use of computers and related technology to include social mediums.
    • Ability to communicate orally and in writing, including demonstrated skill in reading and interpreting documents, writing reports, and speaking effectively to individuals and groups.
    • Excellent organizational skills with the ability to multi-task with frequent interruptions while remaining calm, organized, and accurate.
    • Possess or be able to obtain a valid North Dakota Driver's License with clean driving record.
    • Successful completion of the interview process, reference checks, and post-offer criminal record check.

    PRIMARY JOB DUTIES:

    1. Performs administrative tasks to include answering and routing calls as appropriate and/or taking messages, greeting visitors, ensuring building security, and providing general information to the public.
    2. Assists with the preparation of various reports on local and emergency/disaster activities and other administrative records.

    5. Assists in the coordination of grants, research, and related reporting standards for local, state, and federal programs.
    6. Assists in the preparation and distribution of agendas and corresponding minutes.
    7. Assists in promoting emergency preparedness activities, emergency awareness and education programs, and completion of reports as required through the ND Department of Emergency Services and the Federal Emergency Management Agency.
    8. Assists in maintenance of the Emergency Operations Center (EOC) for activation and/or training.
    9. Monitors, updates, and maintains documentation of department's policies and procedures.
    10. Willing to work extended or unpredictable hours during emergency/disaster events as needed.
    11. Performs other duties as required and assigned.

    WORKING CONDITIONS:

    • Ability and willingness, when necessary (on short notice), to work extended hours, nights, and weekends.
    • Physical requirements and environment for this position are similar to an office environment, including sitting and standing, eye-hand coordination, lifting (15-20 pounds).  Frequent use of various office machines to include computers (desktop and laptop), telephone (landline and wireless), copier, calculator, and projector.
    • Travel may be required.
