    POSITION SUMMARY

    The Business Administration Coordinator will be responsible for supporting daily office administrative duties to ensure the smooth functioning of operations, including non-routine tasks that require creativity and resourcefulness. This position includes coordination and communication between internal and external partners, including operations, accounting, and field teams, vendors, and customers. The Business Administration Coordinator maintains records, supply orders, and compliance documentation, while also assisting with vendor management and logistics. This role is crucial to the alignment of company processes and compliance requirements.

    PRIMARY RESPONSIBILITIES

    • Maintain the review and distribution of incoming mail on a daily basis
    • Coordinate the distribution of invoices to the appropriate team member and ensure approvals are timely
    • Assist the field team with setting up Concur accounts for expense reporting, providing support with coding as needed
    • Maintain coding of Accounts Payable items and remit to AP for processing
    • Handle calls and emails promptly and courteously
    • Partner with internal Agricultural Managers to ensure that pollination customers and related contracts are set up for billing
    • Maintain contracts, licenses, and other business documents electronically
    • Communicate with external vendors and customers, maintaining relationships through trust and transparency
    • Order supplies for internal teams as needed
    • Process various reports and reimbursements according to company requirements and schedules
    • Other duties as needed

    QUALIFICATIONS

    • 1+ year of experience in a similar administrative role required
    • Experience in AR, AP, and/or bookkeeping preferred
    • Experience with ERP systems preferred; Sage experience a plus
    • Understanding of Microsoft Office tools (Outlook, Word, Excel, etc.) required
    • Bilingual (Spanish) preferred
    • Collaborative, organized, and self-motivated, able to communicate confidently and effectively with internal and external partners to resolve issues and answer questions
