    Role Summary

    The Business Development Admin supports the Business Development team by managing front-office responsibilities, maintaining a professional first impression for all visitors, and ensuring leads and opportunities are captured accurately. This role schedules meetings, assists with internal coordination, and upholds the presentation of the KCS office environment. The Business Development Admin contributes directly to company organization, efficiency, and client experience.

    Core Responsibilities

    Receptionist

    • Serves as the first point of contact for visitors, clients, partners, and vendors.

    • Answers phones professionally and directs inquiries to the appropriate team members.

    • Maintains a welcoming, organized, and professional front-office environment.

    Capturing Leads

    • Records and organizes all inbound leads with accuracy and consistency.

    • Ensures lead information is routed promptly to Business Development and Leadership.

    • Tracks lead sources and maintains data for reporting and pipeline visibility.

    Office Presentation

    • Ensures the office is clean, organized, and presentable for staff, clients, and guests.

    • Maintains conference rooms, lobby areas, and shared spaces to reflect KCS standards.

    • Supports brand consistency by keeping materials, signage, and displays aligned with imaging expectations.

    Schedule Meetings

    • Coordinates and schedules meetings for Business Development and other team members as needed.

    • Confirms meeting locations, attendees, and any necessary materials or presentations.

    • Manages calendar updates and helps avoid scheduling conflicts.

    In-House Printing

    • Supports internal printing needs including proposals, presentations, and plan sets.

    • Ensures printed materials meet KCS quality and branding standards.

    • Manages supplies, printers, and equipment to ensure availability and functionality.

    Qualifications

    • Education/Experience: High School Diploma or GED and a minimum of 3 years of administrative or role-related experience; or a combination of education and experience providing at least 3 years of competency in similar responsibilities.

    • Strong communication skills (verbal and written)

    • Excellent organizational skills and attention to detail

    • Able to multitask effectively in a fast-paced environment

    • Punctual, professional, and team-oriented
