    Job Description:

    The Business Development Team Coordinator plays a critical role in supporting business development efforts by managing the full capture lifecycle of new business opportunities, from lead identification to bid submission. This position is responsible for coordinating across members of the business development team, with tasks including bid mining, maintaining the CRM system, conducting market and RFP research, leading proposal kick-off meetings, and providing performance analytics to inform strategic decision-making. In addition, the Business Development Team Coordinator collaborates closely with the proposal team to ensure a seamless transition from lead identification to proposal development. This includes coordinating timelines, contributing capture insights and intelligence to strengthen proposal content, and ensuring alignment between capture strategies and proposal messaging. The role requires strong communication and teamwork skills to support the creation of compelling, compliant, and competitive proposals.

    Key Responsibilities

    Maintain and update the full Business Development (BD) funnel within the CRM system, ensuring accurate, timely, and complete data management.

    Serve as the CRM administrator and oversee the accurate transfer of data into the Procore system to ensure seamless integration across platforms.

    Produce and distribute dashboards reporting on lead status, conversion metrics, and win/loss analyses to support strategic planning and forecasting.

    Conduct in-depth market research to identify emerging trends, competitive insights, and growth opportunities aligned with company goals

    Provide performance analytics and data-driven insights to inform business development strategy and executive decision-making.

    Draft and disseminate agendas, meeting notes, and action item lists for consultant and internal team meetings.

    Perform bid mining activities to identify qualified leads and new business opportunities that align with the firm’s core competencies.

    Research and analyze Requests for Proposals (RFPs) to evaluate fit, inform go/no-go decisions, and support the proposal development process.

    Create, maintain, and monitor a centralized capture library to ensure continuity and efficiency in business development efforts.

    Lead and manage proposal kick-off meetings, ensuring clear communication, team alignment, and timely execution of deliverables.

    Manage the full capture lifecycle of multiple multi-million dollar new business pursuits and MSA/IDIQ contracts—from lead generation through to contract award—across a range of client types.

    Participate as a member of the proposal review team, ensuring high-quality, compliant, and competitive proposal submissions.

    Qualifications:

    3–5+ years managing BD pipelines, CRM systems (e.g., Salesforce, HubSpot), and supporting full capture lifecycles for multi-million dollar pursuits, including MSA/IDIQ contracts.

    Skilled in CRM administration, Procore integration, data analysis tools (e.g., Excel, Power BI), and proposal development platforms; able to generate dashboards and performance metrics to support strategic decision-making.

    Proven ability to lead proposal kick-off meetings, evaluate RFPs, manage centralized capture libraries, and contribute to high-quality, compliant proposal submissions.

    Strong research and analytical skills to identify market trends, qualify leads, and provide actionable insights aligned with company growth goals.

    Excellent written and verbal communication abilities; experienced in cross-functional coordination, meeting facilitation, and producing clear documentation such as agendas, notes, and action items.
