Position Summary: Critical Administrative and Coordination Support for Leadership and Teams to Facilitate The Company's Growth | Located in Golden, CO
Position Overview
The Business Flow Coordinator is a dynamic and essential role designed to support the CEO and other company leadership, and facilitate the smooth operation of a rapidly growing company. This position goes beyond traditional administrative assistance, serving as a key position in moving critical initiatives forward -- ensuring operational efficiency, and enabling leadership to focus on strategic matters. The Business Flow Coordinator will proactively manage details, communications, and administrative functions across various teams and projects.
Example Responsibilities
Meeting Participation & Representation: Attend most company meetings, acting as the CEO’s delegate when necessary. Capture key discussion points, follow-ups, and ensure timely execution of action items.
Research & Analysis: Conduct research upon request on business concerns, market options, and operational improvements, presenting clear findings to leadership.
Customer Relationships: Oversee commercial customer needs and communications (small volume), and process invoices for the commercial side of the business, ensuring accuracy and timely billing. Help move initiatives forward with retail partners.
Trade Events Support: Occasionally attend trade events or fairs, serving as a friendly and professional company representative.
Administrative Paperwork: Manage paperwork for major initiatives, such as VAT registration in multiple countries, communications with vendors and contractors, and submissions to regulatory bodies.
Cross-Team Coordination: Foster clear communication between teams or divisions to ensure alignment and progress on shared objectives.
Technical Support Coordination: Provide coordination of tech or other support needs.
Contract Draft Review: Review and provide feedback on contract drafts, coordinating with legal and business stakeholders.
Scheduling & Travel Arrangements: Organize meetings, appointments, and travel logistics for the CEO and other stakeholders.
Initiative Tracking: Monitor progress of ongoing projects and administrative tasks, ensuring deadlines are met and details are managed effectively.
Qualifications
Bachelor’s degree in Business Administration, Marketing, Management, or related field (preferred).
Proven experience in high-level administrative, operations, or coordination roles.
Exceptional organizational and multitasking skills.
Strong written and verbal communication abilities.
Proactive problem solver with keen attention to detail.
Ability to work independently and handle confidential information with discretion.
Comfortable with technology and quick to learn new systems and platforms.
Experience in customer service or tech support is a plus.
Reporting Structure
This position reports directly to the CEO and works collaboratively with all company teams and external partners as needed, remotely and in-person.
