    Business Office Coordinator

    Independence Community College (ICC) is seeking an organized and service-oriented Business Office Coordinator to support the daily operations of the Business Office. This position plays a key role in ensuring accurate and timely processing of student account transactions, assisting with accounts payable/receivable functions, and providing exceptional customer service to students, faculty, staff, and vendors.

    This is a full-time, 12-month classified salaried position, reporting to the Controller.

    Work Schedule

    Academic Year: Monday–Thursday, 8 a.m.–5 p.m.; 1 hour lunch, and Friday, 8 a.m.–12 p.m.

    Summer: Monday–Thursday, 7:30 a.m.–5 p.m.; 1/2 lunch with Fridays off.

    Salary Range

    $36,000 – $40,000, commensurate with education and experience.

    Primary Responsibilities

    Serve as the primary receptionist for the Business Offices; greet and assist walk-in visitors, students, and families.

    Answer incoming telephones and direct calls or messages appropriately.

    Greet office visitors, field questions, and direct individuals to appropriate services Process payments on student accounts, including tuition, fees, and other charges.

    Post and update charges on student accounts in the student information system.

    Prepare batches of past-due account balances for submission to a debt collection agency.

    Assist the Controller, Accounts Payable, and Accounts Receivable with projects, reconciliations, and data entry.

    Enter and verify data accurately into various databases and accounting systems.

    Provide general administrative support such as sorting paperwork, preparing reports, scheduling, and formatting memos or correspondence.

    Maintain and update both electronic and paper filing systems to keep records organized and accessible.

    Follow office workflow procedures to ensure efficiency and consistency.

    Monitor office supply levels and coordinate restocking when necessary.

    Operate office equipment such as copiers, scanners, fax machines, printers, etc.

    Communicate effectively with students and families, colleagues, supervisors, and external partners via phone, email, and in-person.

    Perform other duties as assigned by the Controller.

    Minimum Qualifications

    High School diploma, required, associate’s degree in accounting, business administration, or related field preferred.

    Work experience in areas of accounting, accounts receivables, or collections, preferred.

    Proficiency in Microsoft Office, especially Excel, and ability to learn college enterprise and accounting systems.

    Strong organizational skills with attention to detail and accuracy.

    Excellent communication and interpersonal skills.

    Ability to manage multiple priorities under deadlines and maintain confidentiality.

    Knowledge, Skills, and Abilities

    Knowledge of basic accounting principles and business office procedures.

    Proficient in data entry, filing, and electronic record-keeping.

    Strong problem-solving and customer service mindset.

    Ability to multi-task, prioritize, and adapt to changing workflows.

    Understanding of community college mission and sensitivity to student needs.

    Working Conditions & Physical Requirements

    Light work with occasional lifting of up to 20 pounds.

    Extended periods of sitting, standing, or walking.

    Routine use of office equipment in a standard office environment with moderate noise levels.
