From our Ontario, California office we design and coordinate installation projects across the United States, managing materials, subcontractors, and project coordination to support installations nationwide.
Position Overview
We are seeking a highly organized Business Operations Specialist to support day-to-day business operations from our Ontario office.
This role helps ensure projects across the country run smoothly by coordinating materials, maintaining business systems, supporting billing and purchasing processes, and assisting with general operational administration.
Because we are a small but efficient team, responsibilities rotate depending on operational needs and project activity. No single responsibility dominates the role, creating a balanced position that supports several important functions within the company.
What Success Looks Like in This Role
The person in this position helps ensure materials arrive where they are needed, invoices and bills are processed accurately, and project information stays organized across our business systems. Successful candidates are proactive, detail-oriented, and comfortable shifting between tasks while keeping operations running smoothly.
Responsibilities
Purchasing & Materials Coordination • Order materials from vendors and track deliveries • Coordinate materials with technicians, subcontractors, and project managers • Assist in receiving deliveries and verify packing slips as well as staging materials for upcoming installations
Business Systems & Billing Administration • Enter vendor bills into QuickBooks, Issue invoices and maintain customer records • Generate customer statements and assist with accounts receivable follow-up • Maintain accurate project and inventory records in business systems
• Assist in issuing template quotes and maintaining business systems inventory information and pricing
Operations Support • Assist with general office operations and answering phones • Track technician hours and assist with project reporting • Communicate with vendors, customers, and technicians as needed • Support operational improvements and special projects

Preferred Experience
