    NONPROFIT ACCOUNTANT JOB DESCRIPTION SUMMARY

    The Non-Profit's mission is to use the performing and visual arts as a tool for personal and professional growth via self-expression for children, youth, adults and families.  The Non-Profit nurtures and encourages the development of the next generation of professional artists by offering them opportunities to perform and exhibit their work.

    SUMMARY

    Nonprofit accountants participate in the responsible financial management of nonprofit organizations according to specialized financial rules that pertain to nonprofit organizations exclusively. According to the Bureau of Labor Statistics (BLS), most advocacy, grant-making and civic organizations, under which most nonprofits fall, are small organizations with less than two dozen employees. Nonprofit accountants work with donors, vendors, agency staff, management, and board members.

    REQUIRED EDUCATION

    Nonprofit accountants hold a bachelor's degree in accounting or finance. Some nonprofit accounting jobs require CMA (Certified Management Accountant) or CPA (Certified Public Accountant) credentials, plus several years of related experience or a master's degree. Not-for-profit accountants may earn Certified Nonprofit Accounting Professional credentials through the Not-for-Profit Services Association. Not-for-profit accountants must study financial management and reporting, internal controls, IRS rules and regulations for nonprofit organizations, fiscal systems, budgeting and how to use accounting software.

    A NONPROFIT ACCOUNTANT IS RESPONSIBLE FOR DUTIES SUCH AS:

    ● REVIEWING ALL ACCOUNTS. Accountants will make sure everything looks correct in the nonprofit's accounts to make sure the organization is on track for future goals.

    ● BALANCING BOTH SIDES OF A TRANSACTION. Accountants handle the balancing of both the credit and debit sides of a double-entry bookkeeping system.

    ● DETERMINING HOW A SINGLE TRANSACTION AFFECTS OUR ACCOUNTS. Nonprofit accountants help determine the financial health of your organization and how each transaction affects this well-being.

    ● UNDERSTANDING THE “WHY” OF OUR ACCOUNTING SITUATIONS. Not only does the accountant need to understand, but they also need to explain it to other staff members clearly.

    ● PREPARING DETAILED REPORTS. Accountants compile comprehensive reports explaining our organization's transactions, usually on a monthly basis.

    ● COMPARING ACTUAL VS. BUDGETED EXPENSES/INCOME MONTHLY.. Nonprofit accountants help our nonprofit understand where our actual expenses/income differ from your budget.

    ● COMPARING ACTUAL EXPENSES AND INCOME YEAR-TO-YEAR. Comparing our nonprofit's current expenses and income to those from previous years can help create more accurate predictions for the future.

    ● PREPARING OUR BOOKS FOR AUDIT. Our nonprofit accountant will make sure everything in our transaction history matches your books so that it's ready for an annual audit.

    ● FILING YOUR NONPROFIT'S FORM 990. All nonprofits must file an annual Form 990 in order to report financial data back to the government and maintain their 501(C)(3) status. Our accountant will help our nonprofit ensure this tax form is in order each year.

    ● RECONCILE ALL BANK ACCOUNTS. Accountants match the cash balances on our balance sheet to the bank account records, resolving any discrepancies between the two reports.

    ● REVIEW ALL BANK ACCOUNTS TO ENSURE THEY MEET GAAP COMPLIANCE STANDARDS. Nonprofit accountants will keep our nonprofit up to accepted industry reporting standards.

    -SPECIFIC RESPONSIBILITIES INCLUDE:

    ● Monthly reconciliations like accounts payable and receivable

    ● Monthly budget vs. actuals

    ● Bank and investment accounts

    ● Expense accounts

    ● Oversee incoming donations, asset management and depreciation, grant management and reporting tasks

    ● Grant budgets & budget narratives

    ● Vouchers for grants

    ● Annual cultural data reporting

    ● Prepare audits (organizational, fiscal and program)

    ○ Annual organizational audit

    HOURS: 5 hrs/per week - in person

    GENERAL ACCEPTED ACCOUNTING PRINCIPLES (GAAP) is a combination of authoritative standards (set by policy boards) and the commonly accepted ways of recording and reporting accounting information. GAAP aims to improve the clarity, consistency, and comparability of the communication of financial information.

    NONPROFIT ACCOUNTANT JOB DESCRIPTION

    PRIMARY ACCOUNTABILITY

    Oversees the management and execution of organizational grants, day-to-day financial transactions and supports the leadership team through administrative oversight. Effectively communicate and present critical financial matters to the Executive Director/board of directors.

    GRANT SUPPORT

    ● Performs all day-to-day accounting function for grants, general accounting functions related to GAAP or FASB standards

    ● Collaborates with the Leadership team and Executive Director on grant income and expense amounts to gather statistics required by funding sources.

    ● Provide monthly vouchers to the accounting manager and assist with A/R invoices, check requests, deposits, and adjustment entries for assigned departments as needed.

    ● Works with the Senior Program Director in monitoring measurable budget vs. actual outcomes and data entry as necessary for the completion of grant reports monthly.

    ● Responsible for managing all programs and organizational files.

    FISCAL SUPPORT

    ● Develops and manages systems for tracking grant expenditures and receivables in Aplos.

    ● Tracks all credit card purchases ensuring all related receipts/invoices are attached.

    ● Reviews and approves all grant-related payment requests, bills, invoices, and statements.

    ● Assist the Program and Development Directors in reviewing all monthly financial reports, makes corrections to grant-related income and revenue as needed, and communicates all changes to Directors.

    ● Liaise with the external auditors and preparation for the annual audit and filing of the IRS Form 990, 5500, to ensure compliance with all government regulatory requirements.

    ● Prepare the monthly financial reports for the agency's oversight Executive Director responsible for ensuring compliance with COC policies and procedures.

    ● Demonstrated computer skills include Aplos, word processing, Gmail Google Drive, database, spreadsheet competence, and the ability to manage multiple tasks, email efficient details, and deadlines with close attention to detail and accuracy.

    ● Pay monthly bills

    QUALIFICATIONS:

    ● Experience working with federal grants (HUD, CDBG, Teen REACH, etc.) preferred.

    ● Degree in Accounting or Human Services (or similar) preferred, but not required.

    ● Proficiency in math, excellent computer skills (Microsoft Office including Excel), and Aplos

    ● Ability to organize multiple tasks related to other staff and foster teamwork.

    ● Must be able to work at a computer monitor for long periods.

    Oversees management duties; technology purchases, office supplies, as needed. Performs additional responsibilities as assigned by the Executive Director.
