Job Summary:
We are seeking a proactive and detail-oriented Business Support Specialist to support key functions across Human Resources, Payroll, Accounting and general business operations. This position requires strong Excel skills, excellent communication abilities, and the flexibility to manage a wide range of administrative and data-related tasks. The ideal candidate is highly organized, collaborative, and thrives in a fast-paced, cross-functional environment.
Key Responsibilities:
HR & Payroll Support
Process and review employee payroll for accuracy and timeliness
Maintain employee records in HR files and payroll systems
Assist with new hire onboarding, terminations, and HR documentation
Track time-off requests, attendance, and benefits enrollment
Respond to employee inquiries regarding payroll and HR policies
Ensure compliance with labor regulations and internal procedures
Accounts Payable (AP) Support
Review, code, and process vendor invoices in a timely and accurate manner
Reconcile vendor statements and resolve discrepancies or payment issues
Assist with weekly ACH payments and credit card reconciliation
Coordinate with vendors and internal departments to resolve billing inquiries
Support month-end closing processes and assist with AP-related reporting
Data Management & Special Projects
Assist with special projects requiring data analysis, reporting automation, and process optimization
Analyze and troubleshoot data issues, ensuring accuracy, completeness, and consistency
Create, maintain, and optimize Excel spreadsheets, reports, and dashboards with advanced functions (e.g., VLOOKUP/XLOOKUP, IF statements, conditional formatting, data validation)
Troubleshoot data inconsistencies, resolve reporting errors, and identify root causes of data-related issues
Apply strong problem-solving skills to identify trends, resolve discrepancies, and support process improvements
Collaborate with internal teams to improve data processes and enhance reporting quality
General Business Operations Support
Assist with maintaining and updating customer records in CRM and internal databases
Provide phone support and route incoming inquiries when the sales team is short-staffed
Coordinate with departments to identify and resolve process inefficiencies
Support general business operations as needed to ensure smooth day-to-day activities
