    JOB TITLE: FISCAL SUPPORT SPECIALIST

    LOCATION: AUSTIN TEXAS

    PAY: $20.50 HOURLY

    OVERVIEW:

    This position provides financial and administrative support. Primary duties are related to accounts payable, financial documentation review, maintenance of encumbrances, month end close duties, and payroll processing. Independent judgment is required to plan, prioritize, and organize a diversified workload.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Processes documentation and maintains encumbrances in MIP to ensure accurate, complete, and timely tracking of client direct costs costs including: Individual Training Accounts (ITAs), Work Experience/On-the-Job Training (OJT) agreements, and other client support costs.

    • Reviews documentation and data enters accounts payable in MIP.

    • Maintains financial records.

    • Ensures that signed check copies and receipts are gathered for client direct expenses, as applicable.

    • Ensures payment file is updated weekly for operations staff.

    • Ensures client direct expenditure/encumbrance report is updated weekly.

    • Assists with journal entry compilation and review related to month end close.

    • Assists with compilation and/or review of procurements, as needed.

    • Processes bi-weekly payroll including compilation of payroll data by fund and location.

    • Reviews employee timesheets for accuracy and completeness and data enters information into the payroll system in a timely manner.

    • Reviews the payroll system reports to account for any pay rate changes, additions, and/or terminations. Coordinates issues with Human Resources when necessary.

    • Reviews payroll reports and other information to ensure accuracy and completeness.

    • Provides customer service related to above functional areas to internal and external customers.

    • Performs other related duties as assigned.

    SKILLS/QUALIFICATIONS:

    • Bachelor Degree from an accredited university or college in a relevant field of study, or

    • Associate Degree from an accredited college or university in a relevant field of study, and two (2) years of work experience in the public or private sector, preferably in workforce development, or

    • High School Diploma or equivalent from an accredited educational institution with four (4) years of work experience in the public or private sector, preferably in workforce development.

    • Excellent verbal and written communication skills.

    • Demonstrated customer service skills, problem solving and critical thinking skills.

    • Demonstrated computer skills, with experience using Office software including spreadsheet software and related database programs.

    • Basic accounting knowledge is highly preferred.

    • Working knowledge of office machinery and automation, including any applicable software packages.

    • Ability to develop and maintain effective working relationships with management, coworkers, Board staff, and the general public.

    • May be required to utilize a personal automobile in traveling from site to site while performing duties and responsibilities, requiring a current valid driver’s license and current automobile liability insurance.

    • Must be organized and detail oriented.
