    The Administrative Assistant will provide support to a diverse set of projects for the Associate Executive Director of Strategy and Vision. Early Care and Learning Council (ECLC) is a statewide, not-for-profit membership organization that represents the 35 Child Care Resource & Referral (CCR&R) programs across New York State. The CCR&Rs are on the front lines, providing direct assistance and support to parents, childcare providers, and employers in their communities. The Strategy & Vision Team focuses on the work of Research and Data collection and analysis, and Community Education across the NY state network of Childcare Resource and Referral Centers.

    Responsibilities  Responsible for the coordination of departments activities; scheduling internal and external meetings, taking minutes, drafting agendas, and reports.  Works cooperatively with other staff members in project related conferences and training activities planning and implementation.  Maintains the department’s calendar, responsible for the development, implementation and coordination of departments goals and activities.  Assist in the preparation of regularly scheduled reports and documents, background documents, board materials, and presentations.  Track departments budget, manage contract reporting.  Write and distribute email, correspondence memos, letters, and forms; maintain updated contact list.  Update and maintain departmental and office policies and procedures.  Other duties, as assigned.

    Job Requirements and Qualifications  Proven experience as an administrative assistant, event planner or other relevant administrative support experience.  In depth understanding of entire MS Office Suite.  Ability to organize a daily workload by priorities.  Must be able to meet deadlines in a fast-paced quickly changing environment.  A proactive approach to problem solving with strong decision-making skills.  Professional level verbal and written communication skills.  Bilingual preferred; ability to understand and to make one self-understood to all Spanish speaking individuals is a plus.
