About the Role:
The HCBS Coordinator is responsible for managing the day-to-day operations of the HCBS/In Home program, overseeing program staff, ensuring compliance with regulations and funding requirements, and supporting the overall success of the program. This role involves coordinating services, managing personnel, maintaining records, and providing support to providers and guardians. The HCBS Coordinator reports to the Chief Executive Officer and plays a key role in implementing operational strategies aligned with the organization's mission, vision, and values.
Responsibilities:
1. Manage HCBS program staff members, including scheduling, orientation, and supervision.
2. Oversee the day-to-day operations of the HCBS/In Home program, ensuring the efficient organization and implementation of direct supports, person-centered planning, recruiting, retention, training, safety, financial management, and maintenance of the physical environment.
3. Make recommendations and/or decisions on employee hires, transfers, promotions, corrective action, and terminations.
4. Monitor the delivery of services and supports, ensuring consistency, engagement, and relevance to the individuals served.
5. Maintain compliance with organization, licensing, and funding source regulations for all program departments.
6. Manage personal schedule effectively to balance client needs and administrative duties.
7. Lead the development and implementation of operational strategies and tactics for the community, aligning with the organization's mission, vision, and values.
8. Regularly communicate performance updates to the Executive Assistant and Chief Executive Officer.
9. Recruit, train, and set up new staff members, ensuring they receive appropriate training.
10. Provide coverage for staff shifts when necessary and unable to find coverage.
11. Perform additional duties as needed and assigned as the position grows.
HCBS Coordinator Duties:
1. Send application links to new providers.
2. Create profiles for new applicants/providers in Spokechoice.
3. Upload credentials in Spokechoice.
4. Complete background clearance checks and DPS procedures.
5. Enter all necessary information in FOCUS > HCBS to maintain 95% compliance.
6. Request initial authorizations and renewal authorizations for non-skilled services.
7. Collect intake packets from families.
8. Request and file Individual Support Plans (ISP)/Person-Centered Service Plans (PCSP) in Therapy Corner (every 90 days).
9. Notify the Support Coordinator if billing files show denied claims and request additional authorizations.
10. Provide support and answer questions, comments, and concerns from providers.
11. Train providers on Electronic Visit Verification (EVV) and alternate method options.
12. Enter Habilitation Goals and ATC (Assistive Technology Communication) goals in Therapy Corner.
13. Update HAH (Home and Health) and ATC goals as needed.
14. Release hours as requested.
15. Match providers with clients by reviewing the Vendor Queue.
16. Request expiring provider credentials, file, and upload to Therapy Corner and FOCUS.
17. Request updated units from DDD (Department of Developmental Disabilities) when hours expire.
18. Send the Guardian a link to access the Guardian Portal.
19. Email the Guardian instructions on how to use the Guardian Portal.
20. Assist the Guardian in approving sessions if requested.
21. Provide support to parents regarding DDD services.
22. Send mass emails to providers, reminding them to submit billing and session notes before the cut-off.
23. Send mass emails to guardians, reminding them to approve sessions before the cut-off.
Qualifications:
1. Bachelor's degree in a related field (preferred) or equivalent work experience.
2. Proven experience in program coordination or management.
3. Strong organizational and multitasking skills.
4. Excellent communication and interpersonal skills.
5. Knowledge of regulations and compliance related to the Arizona Division of Developmental Disabilities HCBS programs.
