    Job Description

    As an ADMINISTRATIVE ASSISTANT/ RECEPTIONIST you will greet customers, in the office and on the phone, direct them to the correct personnel while having a professional, friendly and helpful attitude. Advanced administrative duties in support of the entire office. 

    WHAT YOU WILL BE DOING:

    • Answers incoming calls on multi line phone system, direct, screen calls and relaying messages in a timely manner
    • Prepares necessary letters and documents to be mailed
    • Receives and sorts mail
    • Receives and ships all packages and mail locally
    • Maintains office supplies by tracking inventory, ordering and properly putting supplies away
    • Ensures common areas in office premises are equipped with required office supplies
    • Responds to customers with invoice and account balance inquiries
    • Assist in reporting
    • Create and help with customer files and accounts
    • Assists customers placing service and supply orders and enters the orders in the system accordingly
    • Vendor management for building
    • Responsible for ordering all necessary work/meeting meals, setting up and cleaning up
    • Other duties as assigned

    WHAT YOU WILL BRING:

    • High School Diploma or equivalent required
    • Excellent organizational skills to establish workload priorities
    • Detail oriented with good verbal and written communication skills, including tact and diplomacy when dealing with customers/vendors
    • Strong Excel skills
    • Approximately two plus years of work-related experience
    • Approximately three plus years of direct public contact
