CCMA, LLC Customer Service- Contract Administration and Logistics Specialist CCMA Interested in working for a unique company in WNY? As a member of the customer service team, you will provide expertise in the areas of contract administration making sure that our clients are getting the products they ordered according to the specifications and timeframe in their contract. You will build strong relationships with our clients, vendors and suppliers and be able to problem solve and resolve any problems that may arise. Primary Responsibilities · Handle all aspects of customer service on a contract · Enter all orders into the system ensuring all information is verified, correct and up to date · Request freight rates and secure trucks · Schedule product releases with warehouses and make sure everything is shipped on time · Liaise with the warehouse to get material package, shipped and blended according to contract. o Verify all specs before releasing, confirm all shipping and order details match contract · Prepare and handle documents (packing lists, certificate of analysis, bills of lading, etc.) · Help to manage inventory, manage positions, and manage warehouse stock. · Handle phone and email orders. (No cold calling) · Code invoices, freight, warehouses etc. · Grasp product knowledge to be able to make independent decisions based on customer requirements. Authorities: · Scheduling and releasing of products to customers in accordance with contracts Qualification Requirements: · Associate degree- Business and Accounting degrees preferred · Strong mathematical abilities o Ability to understand fractions, percentages, and conversions o Ability to understand A/R and the importance of keeping our customer current o Ability to understand our billing and invoicing system · Strong computer skills o Microsoft Outlook, Excel, Teams are a must · Logistics experience o Working with truckers, warehouses, freight forwarders and customs brokers · Ability to build strong relationships with our clients and vendors o Excellent interpersonal and communication skills o Able to communicate with proper business etiquette in person, over-the-phone, and via email · Strong organizational and problem-solving skills o Ability to handle stressful situations when problems arise · Ability to be a self-starter and work on projects with minimal management oversight · Must be able to multi-task and handle many contracts and clients at one time · Must be able to work independently and be able to work as part of a team · Attention to detail is a must - proofread all docs prior to sending · 3 or more years of related experience Preferred Qualifications: · Bachelor's degree -Business or Accounting degree preferred · Experience using the AS400 computer programming · 5 or more years of experience Work location: Amherst, NY Travel: Minimal travel Work hours: 8:00am to 5:00pm, Monday through Friday. Hybrid schedule- 3 to 4 days in office per week.
