    Job Description

    The Association Database Coordinator’s primary duty is providing database & some technology support for the association, specifically with the Association’s Management System (AMS) software – Fonteva/Salesforce. Under the direction of the Marketing Technology Manager and Senior Vice President, this position works to improve and support the organization’s use of the AMS, set up best practices and procedures, develops event and registration setups, and manage the internal processes for the use of Fonteva/Salesforce within the association.

    ESSENTIAL RESPONSIBILITIES:

    • DATABASE MANAGEMENT, DEVELOPMENT SUPPORT & TRAINING:
      • Participates in the development and provides support for the association’s membership database within Salesforce/Fonteva.
      • Work directly with the Marketing Technology Manager to oversee Salesforce/Fonteva systems, including creation of new objects/fields to meet the growing needs of the organization.
      • Manages accuracy of information and records regarding member and prospective member records. Aids in developing best practices for performance and operational efficiency.
      • Coordinates and performs regular audits of the association database to ensure integrity and quality.
      • Provides support and direction for updates related to email deliverability, record quality and creates documentation on procedures when needed.
      • Supports management of market automation programs, learning management software and other systems and software as needed.
      • Responsible for assistance in troubleshooting technical issues, bugs, or errors encountered.
    • ASSOCIATION MANAGEMENT SYSTEM SUPPORT:
      • Support the Marketing Technology Manager to test and deploy Salesforce/Fonteva platform upgrades and new releases.
      • Participate in webinars to review Salesforce/Fonteva updates and keep informed on AMS system changes that may affect the association.
      • Provide support in database uploads including uploading membership programs, event records, legal advice process, etc.
    • MEMBERSHIP SUPPORT:
      • Assist with membership inquires, including troubleshooting and resolving login issues for end-users; assist with customer payment processes, event registration questions, email issues, etc. as needed.
    • REPORTING & DASHBOARD CREATION:
      • Oversees the creation of reports needed – including monthly membership reports, lists for marketing promotion and event registrations, and other reports, as requested.
      • Manages the creation of dashboards, especially sales and events, as requested.
    • EVENT REGISTRATION BUILD & MANAGEMENT:
      • Manages the build of event registrations in the Fonteva platform and monitors registration process for data integrity and quality.
      • Includes the creation of registration confirmation emails, reports, and event microsites within the Salesforce/Fonteva platform.
      • Train and support staff as needed to monitor registrations and improve registration processes pre-, post- and during events.
      • Provide post-event support for closing events, uploading onsite attendee information, managing post-event surveys, etc. as needed.
    • INDUSTRY FAMILIARITY:
      • Remains current on contents of CHLA, AHLA and CABBI newsletters, publications, informational notices; and, meetings, seminars and other events.
      • Maintains knowledge of services and benefits offered by CHLA and CABBI.

    SKILLS/QUALIFICATIONS:

    • Association and database management experience.
    • High-level knowledge with Microsoft Office Products, specifically Excel.
    • Experience with Salesforce, Pardot and basic HTML preferred.
    • Excellent communications skills.
    • Ability to work independently and within a team environment.
    • Travel may be periodically required for meeting and staff development.
