    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant/Supervisor to join our team. In this role, you will provide support to our service technicians in the service department, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling service appointments, planning meetings, calculating and writing estimates, creating work orders, collecting cash and credit card payments The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor. The location of the office is in the warehouse-service department.

    Responsibilities

    Answer incoming phone calls and schedule repair appointments

    Schedule appointments and maintain the service calendar

    Organize meetings with service techs- daily and weekly

    Dispatch service techs with correct parts for the call

    Create estimates and work orders correctly, collect payments for the invoices.

    Maintain an organized filing system for estimates and work orders

    Maintain organized system for parts

    Assist customers who enter the warehouse with repair tickets

    Follow up with technicians on the timeliness of their service calls.

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position and Supervisory knowledge

    Familiarity with standard office equipment such as printers, computer software

    Excellent computer skills and knowledge of Microsoft Word, Excel

    Understand how to do an estimate and work order, calculate labor hours, understand machine parts and equipment

    Highly organized with excellent time management skills and the ability to prioritize projects

    Be able to work in a warehouse with temperature fluctuations
