Job Summary
The CK Family Services Intake Department is hiring for a TFC Intake Specialist position. The main working hours for this position is 8am until 5pm, Monday through Friday. This is a position that requires the candidate to develop and maintain functional and supportive relationships with a variety of professionals and the families who are seeking to care for children in TFC program, as well as the traditional foster care program. This person will need to quickly respond to all referrals by email, phone or text. They will need to have a working knowledge of the CK Openings List and quickly establish a relationship with CK foster families. A qualified candidate will be able to match children in need of Treatment Foster Care Services through the TFFC and PHPC programs of DFPS. Additionally, a successful candidate will be required to complete these TFC Routine Placements into the TFC/PHBC foster home. This candidate will also be able to work efficiently and effectively, with the timely submission of required paperwork proper notifications to other CK staff that may be involved in the placement.
Successful candidates will demonstrate the ability to perform with professionalism, flexibility, initiative, and follow-through. Qualified candidates will be self-motivated, possess stellar writing skills, demonstrate the ability to provide excellent customer service, and demonstrate a strength in working well in a team oriented professional environment.
Must possess a Bachelor's degree in a human services related field and at least two (2) years’ experience working with either a Child Placing Agency or conservatorship work through Department of Family and Protective Services (DFPS). A Master's degree in a human services related field and at least one (1) year experience working with a Child Placing Agency or conservatorship work through DFPS.
Responsibilities
Respond to on-call cell phone, texts and emails immediately.
Answer all placement inquiries (calls and e-mails) in a timely manner. Responding within 24 hours to all TFC/PHBC referrals.
Obtain all documentation timely regarding the child’s behaviors and history from the CPU, previous agency, hospital, RTC or CPS worker.
Assess the child for the type of services needed by completing the Service Type Assessment form, using Psychological and Psychiatric assessment and history of child.
Assess the child for appropriate placement into the home environment. Communicate with Intake Director, Case Management Supervisor and Case Management staff as appropriate.
Arrange for all pre-placement visits, conference calls and virtual calls.
Document all information from those pre-placement visits, conference calls and virtual calls.
Accept or decline the placement of a child based on Covenant Kids procedures, licensing regulations, and child’s history or availability of appropriate home.
Communicate all known information with foster family regarding child. Maintain regular communication with foster family regarding status of placement.
Communicate with CPS regarding child placement. Set time and date for placement to occur and confirm with foster family. Discuss all procedures for placement with foster family prior to placement.
Request by email any additional paperwork required for placement.
If unable to complete a placement, contact or communicate with Supervisor immediately to seek assistance to coordinate schedule.
Travel to the foster home in order to complete placement.
Complete the CK Action Sheet as soon as placement is confirmed and turn it into CK Admin Staff to get the child entered into Access.
Accurately complete the Placement Packet and turn into the designated person the next working day after placement. This packet should be completed by 10 am the day after placement, or communicate with Supervisor regarding any extenuating circumstances.
Enter and update family information into CPS CPV (child placement vacancy list) and Texas Gateway database on a daily basis, including newly verified families, current family openings as they become available or unavailable and family closings.
Responsible for timely and accurately updating the Openings List in Access as changes occur.
Gather information for Admission Assessment and complete by day of placement on routine placements. Report any non-compliance to Supervisor immediately.
Gather information for the Common Application form and complete timely as requested.
Effectively work with Case Management Supervisor on children’s initial and on-going level of care needs as required.
Attend CPU placement meetings in surrounding counties as scheduled.
Open and process mail / e-mail daily in a timely manner.
Answer phone, collect messages and respond to requests timely and accurately.
Input data into computer accurately and timely.
Maintain compliance with all Covenant Kids policies, procedures, and regulatory requirements, including all state and federal laws.
Perform other duties as assigned.
Qualifications
Requires basic understanding of a specialized area within a comprehensive field of knowledge normally acquired through four years of high school; one to three years of college or vocational school, or equivalent experience preferred; bachelor’s degree preferred; minimum one-year related experience, plus one year of managerial experience preferred.
Ability to use up to 100 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people.
Ability to motivate people; ability to develop and exercise good supervisory skills.
Ability to handle multiple tasks; self starter; energetic; detail –oriented, with good organizational skills.
Ability to communicate professionally and effectively both orally and in writing.
Ability to deal with a variety of adults and children with a range of personalities and problems; maintain confidentiality.

Ability to relate to multiples ideas and the concepts/theories behind the ideas; ability to remember multiple verbal and written tasks/assignments over several days and occasionally up to several months.
Professional demeanor and appearance required. Ability to comply with Covenant Kids Professional Appearance in the Workplace policy.
Ability to concentrate on fine detail with some interruption; ability to focus attention on tasks for 45-60 minutes at a time on a continuous basis.
Ability to walk frequently; occasionally stand for prolonged periods of time; occasionally required to squat, climb stairs, kneel and twist; sit for prolonged periods of time.
Ability to grasp, push, pull, carry or otherwise manipulate objects, ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination.
Ability to be on call and respond immediately to on-call phone.
