    We’re in search of an organized, professional real estate listing coordinator/executive assistant to serve as the main point of contact for a top producing listing agent. Your responsibilities include relaying important messages to the agent, scheduling the agent's meetings, scheduling inspections, vendors and essentially project managing the listing side of the business. Keen tech skills for systematizing information needed. In addition, you’ll need to assist with other tasks for the agent as needed. Responsibilities: • Project Management  The Listing Coordinator is responsible for the preparation and administration of all listings under the supervision of the Listing Agent. The Listing Coordinator will keep the Listing Agent and TC up-to-date on the status of each listing via email, phone and during team meetings.  • Meet weekly (or bi-weekly) with Andrea and Rachael for updates • Do an initial walk-through of the property with the Agent to determine the renovation game plan (if any). Or, Agent will provide you with info of what needs to be done. • Visit property weekly to ensure the property is secure and all renovations (if any) are going accordingly to plan and timeline.  • Schedule and collect the necessary bids from various vendors. • Schedule and calendar window washing and deep cleaning. • DocuSign staging contract to clients and ensure that the staging contract gets paid. • Confirm Co/Smoke detectors have been installed in the appropriate quantity and locations. • Anything else to order? Discuss with Client & Listing Agent/Executive Assistant  • Complete Quality Control Walk Through #1. • Manage the budget and complete the initial audit on the project and verify all payments made in the expense sheet for the property. Verify with Executive Assistant there are no other charges to add to the expense sheet.  ADMINISTRATIONOnce a listing is accepted by the Listing Agent: • Get keys from Listing Agent, make copies and place at the property in a lockbox (as requested by Listing Agent). • Check online for sewer lateral compliance. • Schedule Sidewalk inspections/ Contact City of Oakland for Exceptions • Refer to the vendor contact list and start scheduling bids and inspections (confirm with the Listing Agent who she wants to use for each service- staging, inspections, handyman work, landscaping, etc). • Schedule and calendar the staging date. • Schedule and calendar inspections as needed (Home, Pest, Sewer, etc). Put all listing prep dates, inspections, appointments, etc in the calendar once scheduled (including renovation start/end dates). • Schedule and calendar the photo date  • Edit the neighbor letter template with property specific details (if applicable). Prior To Coming On The Market/While On The Market • Confirm the house is clean. • Confirm that all work is complete and that the house is in good condition. Listing Accepted Offer • Schedule and calendar the de-stage date. • Schedule and calendar the final cleaning.  • Collect/place a pending or sold sign. • Make contact with the selling agent and give them the combination to the contractor’s box at the property. • Complete the final audit of the project, make sure the expense sheet is up to date with all charges. Prior to the Close of Escrow • Confirm that the property is clean and in good condition. • Collect and coordinate with EA to send any remaining personal belongings to the seller. At Close of Escrow • Coordinate transfer of the keys to buyer's agent. • Remove the contractor’s lockbox. • Collect cleaning supplies and remove COVID signage.  • Collect Sale Pending Sign, bring to office.  Qualifications: Must have a valid Real Estate License 2-3 years experience as an executive assistant or administrative assistant Used to handling private information and meeting hard deadlines High school diploma required Experience in the real estate industry preferred Strong interpersonal skills and time management skills Compensation: $60,000 - $85,000 yearly
