    Job Description

    JOB SUMMARY:

    Under general supervision, provides administrative support for transformational activities. Serves as a liaison for administrative support on policies and procedures relevant to Purchase Orders (“PO”) and vendor set-up/creation; troubleshoots daily challenges as well as Fleet administration associated with the Fleet management company. Advises employees on policies and procedures concerning operational issues related to business and financial operations within Procurement and Purchasing processes.

    WHAT YOU WILL DO

    Duties and Responsibilities:

    •  Liaison for administrative support on policies and procedures. Creating and leading PO process in Indirect procurement
    • Continually monitor open PO’s for accuracy and provide feedback to stakeholders or Procurement leadership
    • SAP PO key user
    • Single point of contact for PO related issues and flow
    • Coordinates daily transactions as well as Fleet administration
    • Ensures KPIs and SLAs points are being measured, tracked and appropriate actions addressed
    • Supports resolution to billing Inquiries, prepare journal entries and payment vouchers.
    • Communicates with stakeholders regarding any change with Travel Service Provider(s)
    • Timely escalation and forward of Fleet Inquiries internally and externally
    •  Supports and consolidates financial and business operations sitting across corporate functional team leads. Administrative vendor set-up and Per Angusta support
    • Per Angusta “PA” Contracts and One-Off Savings input and oversight
    • Drive process enhancements by working with Finance, wider Procurement team and IT.
    • SME for vendor  on-boarding process and responsible for PO creation of all corporate functions and teams.
    • PO communication and follow up with the supplier and internal stakeholders
    • Performs other job-related duties as assigned.
  • Qualifications

    Qualifications

    REQUIRED MINIMUM QUALIFICATIONS:

    Education

    • Bachelor Degree in Business Administration, Accounting, or related field of study
    • 3+ years of related work experience

    Experience to include, but is not limited to:

    • Managing 3rd party service providers.
    • Planning, organizing and managing multiple projects.

    Knowledge of:

    • SAP
    • Intermediate to Advanced proficiency with Microsoft Office (Outlook, Word, Excel, & PowerPoint) and Microsoft Teams

    Skilled in:

    • Problem/situation analysis

    WORK ENVIRONMENT AND PHYSICAL DEMAND:

    • Occasionally lifts or moves objects 10 - 50 lbs.
    • Walks, sits, or stands for extended periods.
    • Requires prolonged machine operation including vehicle, computer, and keyboard equipment.
    • Use of manual dexterity and fine motor skills.
    • Exposure to uncomfortable work environment due to extreme temperature, noise level, and other conditions including second-hand smoke and/or vape.
