CRM & Lead Operations Coordinator
Location: Hybrid / In Office
Employment Type: Full-Time
Compensation: $50,000 - $55,000 per year (depending on experience)
About the Role
We are seeking a highly organized and detail-oriented CRM & Lead Operations Coordinator to support our sales and funding teams. This position is responsible for managing inbound leads, maintaining CRM accuracy, handling lead assignments, and ensuring all prospect information is properly documented and transferred between systems.
This is a fast-paced operational role that requires exceptional attention to detail, strong computer skills, and the ability to manage multiple tasks simultaneously. The ideal candidate enjoys organization, works efficiently under pressure, and can maintain accuracy while handling phone calls, emails, CRM updates, and internal communications throughout the day.
What You'll Do
Lead Intake & CRM Management
Answer inbound calls when sales representatives are unavailable and screen/take message (unlikely as we're continuing to hire sales reps, but could happen based on how many missed calls there appears to be)
Search for prospects in our legacy CRM system.
Review existing customer records and transfer relevant information into Salesforce.
Create and update lead records in Salesforce.
Maintain accurate notes and customer information.
Ensure CRM data remains clean, organized, and complete.
Email Inquiry Management
Monitor inbound email inquiries and campaign responses.
Determine whether prospects already exist in Salesforce.
If a prospect does not exist, locate their information in the legacy CRM and create a complete Salesforce record.
Copy and document email communications within Salesforce.
Assign leads to the appropriate sales representative according to company procedures.
Lead Assignment & Operations Support
Route leads quickly and accurately to the appropriate team members.
Monitor lead queues and incoming requests throughout the day.
Assist with maintaining lead workflow organization.
Support funding and disbursement tracking processes.
Ensure timely follow-up opportunities are not missed.
What a Typical Day Looks Like
Legacy CRM open on one screen.
Salesforce open on another screen.
Locate existing prospect records for inbound callers
Transfer customer information from the legacy CRM into Salesforce.
Process inbound email inquiries and marketing responses.
Document communications within Salesforce.
Assign leads to the appropriate sales representative.
Manage multiple emails, notifications, calls, and CRM tasks simultaneously.
Help maintain organization across the sales pipeline.
